Are you detail-oriented, organized, and passionate about ensuring procurement processes run smoothly? As a Contract Administrator I for the Los Angeles Community College District, you’ll play a critical role in the coordination and management of procurement activities for construction and professional services.

Your work will be at the heart of our projects, ensuring the selection of top-tier general contractors and service providers while adhering to strict policies and procedures.

Key Responsibilities :

Collaboration & Coordination : Work closely with project management teams at both the PMO and college sites to develop and prepare procurement packages for general contractors and professional service providers.

Your role may also involve change management activities as needed.

Competitive Bidding & Selection Management : Oversee various competitive bidding and selection processes from initial planning to final award.

This includes taking charge of all administrative functions, such as preparing procurement documents, issuing addenda, managing evaluation materials, and finalizing contract documents.

Pre-Qualification Process Management : Manage the pre-qualification processes for professional and construction services firms.

This includes preparing RFQ packages in collaboration with Subject Matter Experts (SMEs), leading pre-submittal instruction meetings, coordinating RFCs and issuing Addenda, reviewing submitted SOQs, facilitating evaluations, and managing post-award submittals through to BOT Award and contract execution.

  • Adaptability & Versatility : Based on workload and departmental resources, your tasks and responsibilities may shift over time at the discretion of the department supervisor to best serve the needs of the District.
  • Compliance & Adherence : Maintain strict adherence to all policies, procedures, templates, and applicable laws as part of your daily routine.

This role is critical for ensuring compliance under the scrutiny of consistent internal and external audits.

  • Reporting & Quality Control : Manage reporting, tracking, and quality control for all assigned procurement processes, ensuring accuracy and completeness at every stage.
  • Concurrent Project Management : Handle multiple procurement processes simultaneously, coordinating with various stakeholders to ensure smooth operations.
  • Non-Supervisory Role : This is a heavily administrative role. Applicants should note that this position does not involve supervising others performing these functions.
  • Attention to Detail : Due to the high level of scrutiny and the critical nature of compliance in this role, a keen attention to detail is essential.
  • Work Environment : Currently, District policy allows for a four-day in-office work week with one remote day per week. The work schedule, including the remote day, is subject to department supervisor approval and may change at any time.

Requirements

Minimum Required Qualifications :

Preferred Qualifications :
