Manages vendor relationships and investigates agency needs, evaluates options and pricing for major office purchases (i.
e., furniture, copiers, technology) or maintenance providers and presents findings to management.
- Supports the HR Director and Managers in any administrative tasks including maintaining client files.
- Coordinates completion of background checks for potential hires.
- Completes scanning tasks including but not limited to client files.
- Assist lawyers with filing documents.
- Ensures customer service excellence in all administration functions.
- Manages the logistical needs for all meetings to include site selection, vendor engagement and management, communications, assembly and distribution of all materials.
- Manages Safe Response email correspondence, including distribution of correspondence to appropriate parties within the Agency.
- Manages petty cash including performing reconciliation and banking transactions.
- Adheres to all policies and procedures as defined in the Employee Handbook.
- Takes pride and ownership in Safe Response facilities and assigned work areas.
- Attends mandatory staff meeting and other meetings as assigned.
- Completes and updates mandatory training and other licensure related items in a timely manner.
- Maintains documentation that is accurate and legible.
- Ensures that the agency meets its quality improvement, evaluation and reporting requirements.
- Actively participates in and / or oversees data collection and the use of data to improve outcomes, practices and service delivery.
- Performs other duties as assigned.
Requirements :
- High School Diploma plus 2 years further education or 2 years office management experience.
- A minimum of 5 years of experience of administrative support.
- Some legal secretary experience preferred but not required.
- Minimum age of 21 depending on program and / or department requirements.
- Valid Indiana driver’s license and driving record that meets eligibility requirements of insurance carrier.
- Successful completion of pre-employment drug screen and physical.
- Must meet background screening requirements of program(s) assigned to.
