Overview

The Executive Assistant assists the CEO and other company executives with scheduling, organization, and administrative tasks.

The candidate will be a proactive problem solver with excellent communication skills and attention to detail. This person should have experience working in an office environment, performing administrative duties, and providing support to company executives, while maintaining confidentiality of company operations and information.

Principal Responsibilities

  • Prepares correspondence and presentations, both internal and external for the CEO
  • Manages scheduling for the CEO and company executives including agendas, mail, email, phone calls, and client management
  • Coordinates & makes travel arrangements for the CEO and company executives
  • Prepares and distributes press releases and other company communications
  • Supports company executive communication with Board of Directors and shareholders
  • Files company reports with the US Securities and Exchange Commission and Department of State
  • Maintains various records of company documents, meetings, and reports
  • Organizes and prepares for meetings, including distribution of documents and attending to logistics
  • Maintains the office supplies inventory for the corporate office
  • Monitors, forwards and responds to corporate email accounts
  • Answers and transfers phone calls to company personnel
  • Answers door, greets visitors, coordinates sign-in and visitor access to company buildings
  • Assists other senior leaders with clerical duties, as needed

Requirements :

Training, Skills, Knowledge and / or Experience

  • At least 4-5 years of experience in a related role
  • Excellent written and verbal communication skills
  • Excellent time management and organizational skills
  • Proficiency using Microsoft tools such as Word, Excel, PowerPoint, Teams, and Outlook
  • Strong interpersonal skills with the ability to organize and coordinate multiple concurrent activities
  • Experience managing critical and confidential company information & data with discretion and good judgement

Education Requirements High School Diploma required; Associate or Bachelors Degree preferred
