Job Summary
The Front Desk Coordinator manages the reception desk and all activities related to the general office. Temp 6 moths 12-5pm
Essential Duties
- Greet vendors, customers and fellow team members
- Answer phones, receive and forward messages to the appropriate person
- Answer general questions about the companys services and employment
- Manage all stamping, scanning, uploading and distribution of mail
- Manage Envoy , the companys visitor and workplace platform / system
- Receive and sign for packages, inform the appropriate person of the arrival
- Handle all Fed Ex shipments - incoming and outgoing
- Maintain company fax inbox and distribute to appropriate Personnel / Department
- Restocking of supplies for all breakrooms and maintain coffee machines
- Maintenance and tidiness of assigned conference rooms
- Maintain organization of supply / mail room
- Maintain inventory of all office, kitchen and cleaning supplies
- Assist in creating requisitions and / or purchase orders
- Assist in drafting and proofreading of documents, as needed
- Assist in research for various projects , completing reports
- Assure discreet handling of all business
- Coordinate with Penn Records to schedule shred pick up
- Coordinate and maintain records of archived files with Penn Records
- Tracking Service and Rental Receipt inventory
- Manage updates of e mployee phone list
- Assist Executive Leaders with various projects and tasks , such as expense management, coordinating events, etc.
- Assist with mailing out invoices for Billing
- Assist Marketing with miscellaneous projects such as milestone celebrations and gifts
- Assist HR with e mployee files and other request s
- Manage the front desk schedule to ensure coverage at all times
Responsibilities :
Required Skills & Knowledge :
- Clear and effective communication in person and over the phone
- Outstanding customer service e xperience and the desire to assist people
- Service oriented with positive and upbeat attitude
- Basic computer skills
- Familiarity with standard office equipment such as phones, copy machines, scanners, fax machines, etc.

Physical Requirements
- Requires sitting for prolonged periods of time

Qualifications :
Education and Experience :
High School Diploma (or equivalent) and 2 year s of related experience

PAY :
The pay rate for candidates is $20.00 per hour. The final pay offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and years of experience within the job, type, and years of experience within the industry, education, etc.
