Summary
JOB SUMMARY :
The Marketing Coordinator (Coordinator III) is a supportive role within the University of St. Thomas’ Marketing, Insights and Communications (MIC) department, and reports to the Marketing Administrative Manager.
This new role will assist and collaborate with MIC team members to help implement and organize marketing, communications, creative design, web, insights, and analytics tasks.
The Marketing Coordinator will regularly perform multiple tasks simultaneously and must be open to and able to learning new skills and technology on the job.
They should be comfortable receiving direction and then working collaboratively and / or autonomously depending on the assignment.
This role is well suited for someone who is flexible and eager to gain experience working in marketing, communications and creative disciplines.
- The Marketing Coordinator’s work may include but is not limited to the following types of activities : facilitating advertising campaigns;
- using software programs (Canva) to create printed and digital posters, flyers and postcards; making web content edits using a web content management system;
event logistics support; simple photo and video editing, vendor communication and management; basic market research; coordinating certain creative projects, sourcing content for email newsletter and Newsroom stories.
Description
ESSENTIAL FUNCTIONS :
This position will provide support for a variety of marketing activities, receiving direction from the marketing project leaders, then coordinating efforts within MIC’s Creative, Web, and Research teams, with university partners, and with external vendors.
These marketing activities include :
Promotional work (social media, flyers / posters, promotional gifts, storytelling content) :
Examples of projects this position may support include promoting new degree programs from a School / College; highlighting special University events (such as commencement, Sustainability Week, new building openings, etc.
supporting a School / College / Department for an upcoming event, and creating brochures
- The type of promotional work done by this position includes : creating content for emails, social media posts and St. Thomas online Newsroom stories;
- writing and designing a flyer / postcard / Insta post / print ad in Canva; working with a printing company to produce postcards for a mailing;
- coordinating the design and purchase of a promotional give-away (such as a t-shirt) for students; emailing logo files and brand guidelines to vendors;
- taking photos at events to post on social media; recording videos to post on social media; gathering information for a creative brief and submitting it;
- working with a printing company to design and print a large banner and then working with the Facilities department to hang the banner;
reviewing a brochure draft; and ensuring all requested work has been done
Advertising Campaigns :
- Examples of projects this position may support include Ad campaigns for university-level awareness; ad campaigns for graduate programs from the University’s Schools / Colleges
- The type of ad campaign work done by this position includes sending files to the ad agency; reviewing creative assets for accuracy;
- coordinating timing requirements between multiple parties; gathering information for a creative brief and submitting it;
- fielding questions from the ad agency; documenting details of a campaign plan based on a strategy defined by the Marketing Strategist;
clarifying campaign launch plans with multiple parties
Supporting the brand :
Examples of projects this position may support include large-scale collages (wall wraps) for University buildings; updating the print version of a campus map;
working with an external company filming on University property
- The type of brand work done by this position includes gathering information for a creative brief and submitting it; reviewing and evaluating requests from campus partners alongside other MIC leaders;
- reviewing design edits made by the Creative team and ensuring they match the partner’s request; coordinating schedules and building access for a visiting company to film on campus;
coordinating details related to the creation of wall-sized graphic decals, etc.
Web updates :
Examples of projects this position may support include maintaining content on commencement webpages; updating banner images on a home page;
replacing featured student profiles with new ones; updating PDFs of campus maps; building a webpage for a new graduate program or undergraduate degree
The type of web work done by this position includes choosing photos from a large photo repository; writing web-friendly text and instructions;
uploading files; using the web content management system to edit web text or building a webpage for a new degree program
Qualifications
Minimum Qualifications :
- High school diploma or the equivalent
- Four years of marketing and communications support experience
- Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Basic writing experience including professional, informative and persuasive writing styles. This position is looking for someone who can use correct spelling, grammar, punctuation, and vocabulary, and for this reason, all submitted materials (resume and application) will be reviewed with that expectation in mind.
Basic content editing experience
Preferred Qualifications :
- Bachelor’s degree in marketing, communications, journalism or related field
- 1 or more years of marketing coordinator or marketing specialist experience, including internships and student employee experience
- Experience with a web content management system (Such as WordPress)
- Experience working in a higher education setting
- Familiarity with design software such as Canva, Adobe Creative Suite or similar tools
