Position Summary
Human Capital Consultants Consortium (H3C), a project-based HR firm, is seeking an Executive Assistant (EA) to be the supportive force that empowers our C-suite level, executive management team and assist with the consulting team as needed.
The EA will provide high-level administrative support to the CEO and Co-CEO and other senior leaders. The ideal candidate will be highly organized, resourceful, and able to handle a wide range of administrative and executive support-related tasks independently with little or no supervision.
This person must be exceptionally well organized, flexible, and enjoy the challenges of supporting a virtual, busy and dynamic office.
Essential Duties and Responsibilities :
The ideal person for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail.
They will have previous experience working in a remote office environment, performing administrative duties, and providing support to C-suite management.
Given the changing nature of the executive landscape, we rely on our EA for flexibility and foresight, while maintaining confidence related to high-level systems and operations.
Executive Management Team Support
Completes a comprehensive variety of EA tasks including managing active calendars; composing and preparing spreadsheets and correspondence to include those of a confidential nature;
compiles documents for meetings and meeting notes from Team meetings.
- Provides support by coordinating agendas, scheduling meetings, and attending meetings as requested.
- Assists in coordinating the agenda of meetings. Prepares an account of the meetings and follows up on designated action items.
- Communicates directly, and on behalf of the H3C leadership team as requested, with company team, stakeholders, clients, and others with professionalism and civility.
- Researches, prioritizes, and follows up on incoming issues, requests, and concerns as needed.
- Follow up on contacts made by the leadership team upon request and supports the cultivation of ongoing relationships.
- Provides a bridge for smooth communication between the leadership team and the organization consultants while maintaining credibility, trust and support with executive management and consultants.
- Builds relationships crucial to the success of the organization and manages a variety of special projects for the leadership team, some of which may have organizational impact.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the leadership team’s ability to effectively lead the company.
- Prioritizes conflicting necessities by handling matters expeditiously, proactively, and with appropriate follow-through, often with deadline pressures.
- As needed, support the members of the Executive Management Team.
- Maintains discretion and confidentiality in relationships with the team.
- Occasionally completes client-related tasks, projects, and other assignments.
- Updates Client Relation Management (CRM).
- Assist with client prospecting activities.
- Coordinate proposal and client agreements.
Requirements
- A minimum of five (5) years of experience supporting C-Level Executives, preferably in a small, agile entrepreneurial environment.
- A minimum of five (5) years of experience independently managing strategic initiatives in support of an organization’s management team.
- Advanced MS Office proficiency (Email, Word, Excel, PowerPoint, Outlook, and SharePoint). Grasp of project management and time tracking platforms such as MS Teams and project management applications.
Strong proficiency working with virtual meeting platforms : Zoom, Adobe Connect and similar software tools.
- Exceptional organizational skills and attention to detail are required, along with the ability to manage confidential information.
