In our Manchester Center, we need an individual as the Administrative Assistant who will provide administrative and office support to our center and our Nursing Program.

Job Summary :

As the Center Administrative Assistant, integral part of the efficient and effective running of the programming for our students, your will be responsible for working with different teams at the Manchester Center including our Nursing Program.

Provide assistance with a wide variety of administrative tasks for the School of Nursing, assist the Academic Program Director, and support for the Manchester Center.

Your day will include managing and performing a wide variety of administrative and curricular tasks to support the academic and administrative programs at the Manchester Center, including Center operations, creating and maintaining records, and other tasks as needed.

This position will require a flexibility to comprehend and adapt to different needs and requirements throughout the work week is essential.

POSITION DUTIES AND RESPONSIBILITIES :

Essential Functions of the Position :

Greet visitors at the center reception desk and provide center coverage. Answer multi-line telephone system, screening and transferring calls while handling general inquiries.

Screen calls and visitors to determine nature of request of problem. Record and forward messages as necessary.

  • Provide administrative support to the School of Nursing (50% of position), and other departments in the Manchester Center (25%) and building management activities (25%).
  • Acts as a support service to students, as directed.
  • Ensure that all required supplies are available as needed and that the facility and equipment are in proper working order.

Order center supplies as needed, request equipment maintenance jobs as required, and perform regular supply closet inventory.

Enter and retrieve date from Jenzabar EX program. Perform data entry and maintain records. Run a variety of EX enrollment reports.

Create, update and maintain CHNS undergraduate and graduate courses and faculty assignments in EX each term. Perform other EX duties as requested.

  • Assist faculty with data collection and documentation in undergraduate and graduate terms, end of course reports, and survey data.
  • Assist faculty and staff with variety of requests through University departments.
  • Create a booklist and provide text information list to undergraduate faculty each term.
  • Assist and prepare contract assignments for undergraduate faculty each term.
  • Process and maintain Request to Graduate for online graduating students.
  • Create and process certificates for graduating students.
  • Maintain department and Center calendar and scheduling for functions and rooms. Assist with the setup and breakdown of function rooms, including the coordination of refreshments for functions.
  • Carry out other specialized administrative tasks related to online graduate program and Manchester Center. Create correspondence, reports, manuals etc.
  • Perform liaison functions with students, faculty, staff, parents or other department / program constituencies.
  • Carry out other specialized or technical administrative tasks related to Manchester campus functions.
  • Organize and maintain student files and records, frequently involving cross-filing / cross-reference systems.
  • Schedule appointments, meetings and maintain calendars, and duplicate document, take meeting minutes and maintain documentation.
  • Other duties as assigned.

POSITION SPECIFICATIONS AND REQUIREMENTS :

Previous Experience : A minimum of two years of relevant office experience, preferably with experience in an educational environment.

Excellent customer service skills including a pleasant phone manner are critical. Knowledge of office protocol and professional etiquette including but not limited to the ability to handle confidential and sensitive information professionally.

Knowledge and Education : Associate's degree desired, bachelor's degree preferred. Demonstrated knowledge and experience with office procedures and practices.

Machines, Tools, Equipment, Electronic Devices and Software : Possess a mastery of Microsoft Office Suite (specifically, Word, Excel and Outlook), along with typical office machines including, printer, copier, and fax.

Physical Activity / Effort : Incumbent must be physically able to lift various materials up to 25 pounds on an occasional basis;

such lifting is commonly limited to normal center activities such as moving chairs and tables. While performing required job tasks, physically able to remain seated for long periods of time working at a computer, advising students, writing reports, and accepting or returning telephone calls.

While performing required job tasks, incumbent must be physically able to remain standing for up to 15% of the time. Possesses dexterity abilities required to perform typing, operate a computer and other office equipment, to perform filing, arranging materials on bulletin boards, stooping to file in bottom drawers and relate job responsibilities
