Summary
Archways is seeking a highly organized and proactive individual to fill the role of the Project and Administrative Support Coordinator.
The Project and Administrative Support Coordinator assists the Vice President / Chief Operating Officer with administrative support in day-to-day activities and special projects relating to the smooth operations and advancement of Archways.
Projects that relate to enhancing operational efficiency, ensuring compliance, policy development and implementation, program development and oversight, grant management, and professional development are key components of this position.
This position works out of Archways Concord, with travel to other Archways Centers as needed.
Duties
- Coordinate and manage special projects assigned by the Chief Operating Officer, ensuring all tasks are completed within the specified deadlines.
- Provide administrative support including managing shared calendars, scheduling meetings, and handling correspondence and mail.
- Act as a liaison between various internal and external stakeholders, ensuring effective communication and coordination.
- Assist in the preparation of presentations, reports, and other materials for meetings and presentations.
- Collaborate with other team members to ensure the successful execution of projects and initiatives.
- Assisting in the development of policies and processes related to Professional Development, Human Resources, and other areas at Archways.
- Compliance Monitoring : Regularly review and adjust policies and practices to align with legal and ethical standards.
- Perform detailed audits of organizational records to verify accuracy, integrity, and confidentiality.
- Maintain confidentiality and handle sensitive information with discretion.
- Other duties as assigned.
Requirements
- Bachelor's degree in Business Administration, Project Management, Education, or related field.
- Proven experience in project coordination and administrative assistance and support roles.
- Exceptional organizational skills and attention to detail.
- Excellent communication, writing, and criterial thinking and interpersonal skills.
- Proficient in Google Suite and other project management tools.
- Proficiency in data management software.
- Ability to work independently and prioritize tasks effectively.
- Experience working in a fast-paced environment.
- Experience with either Educational or Social Service program oversight, or grant management preferred but not required.
- Experience as a Peer Recovery Support Worker / Peer Recovery Coach or Family Support Worker preferred but not required.
