Job Title : IT Project Coordinator
Duration : 6 months (Tentative)
Location : Quincy, MA (Hybrid)
Summary : A highly motivated IT Project Coordinator with familiarity in legal matters is needed to support the General Counsel units in various agencies through a new Salesforce project.
This role is a unique opportunity to contribute to a high-profile project within the Executive Office of Health and Human Services agencies.
The Project Coordinator will support the administrative needs of the project and staff, ensuring smooth communication and coordination across all levels.
Key Responsibilities :
- Coordinate, facilitate, and aggregate status reporting and monitor the overall health of the project.
- Lead and schedule kick-off meetings with business areas to establish engagement objectives, timelines, roles, and deliverables.
- Demonstrate strong organizational skills, attention to detail, and problem-solving abilities to identify and recommend solutions.
- Track and manage action items, risks, issues, and next steps.
- Develop and maintain effective relationships with project team members, senior leadership, and stakeholders.
- Document and maintain project plans, meeting minutes, decisions, project reports, schedules, budgets, and cost tracking reports.
- Prepare and design presentation-ready project reports using graphics and desktop publishing software; integrate word processing and spreadsheet files into reports.
- Coordinate conference calls and meetings, present meeting agendas, document meeting minutes, and follow up as needed.
- Manage financial responsibilities, including invoice tracking, budget tracking, and processing financial requests.
- Review and approve system support tickets, maintaining a working relationship with the Help Desk team to ensure timely completion of requests.
- Adhere to established policy and procedures related to project management methodology, quality assurance, and related standards.
- Manage the internal Project Repository (SharePoint, Jira, etc.) to ensure all project artifacts are collected, version controlled, and available upon request.
Preferred Skills and Abilities :
- Minimum of 3 years of experience in Business, System, and Data Analysis, or related IT environment experience.
- Technical project management experience preferred.
- Ability to work independently and as part of a team.
- Experience in preparing documentation.
- Basic understanding of IT design and development.
- Ability to translate and communicate technical concepts to both technical personnel and non-IT business users.
- Strong organizational, presentation, and customer service skills.
- Excellent problem-solving and team collaboration skills.
- Proficiency with MS Project and MS Office applications, including Excel, Word, Visio, Outlook, and PowerPoint.
Education / Certifications :
- Bachelor’s Degree in Computer Science, Computer Information Systems, Information Management, or equivalent work experience.
