- Manage executive calendars, coordinate technician schedules, and assist with team’s travel arrangements.
- Assist with personal / adhoc tasks such as run errands to the post office, pick up packages or receive deliveries
- Act as a liaison between executives, clients, and internal teams, ensuring clear and efficient communication.
- Prepare and edit correspondence, reports, presentations, and documentation related to equipment installations, repairs, and maintenance.
- Prepare and maintain company policy documentation and communicate updates to the team as necessary
- Coordinate meetings, conferences, and site visits, ensuring all necessary arrangements are made using company guidelines
- Handle confidential information regarding client contracts, vendor agreements, and sensitive company data.
- Assist with shop activities such as managing parts and uniform inventory and procurement processes for equipment and supplies.
- Add and maintain customers, contacts, etc. keeps the Quickbooks information accurate and free from errors.
- Enters purchase orders, creates procedures, policy documents, etc.
- Review and reconcile expenses against receipts, manage invoices, and assist with budget tracking and job costing activities related to installations and repairs.
- Support HR lead with activities such as onboarding new technicians, managing work schedules, and assisting with training coordination.
- Drafts procedures for administrative team on daily duties and projects
- Improve use of existing online tools for productivity, i.e. Paychex, QuickBooks Online, QB Time, Trello, FastFields, etc.
- Keeps track of compliance on Supplier platforms such as Avetta and ISN
- Research industry trends, vendors, and potential partners to support executive decision-making.
Requirements :
- A high degree of proficiency with Microsoft Office tools (Word, Excel, Outlook, PowerPoint)
- Administrative Assistant and experience.
- Receptionist experience.
- A high degree of accuracy in completing work assignments.
- Excellent communication and people skills.
- Excellent organization skills.
- Strong multi-tasking ability.
- At least a high school diploma.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Flexibility and adaptability to prioritize tasks in a dynamic, fast-paced environment; Ability to work with tight deadlines;
works well under pressure
- Knowledge or experience in equipment maintenance or repair logistics is a plus.
- Conveys a positive and team-oriented attitude
- Ability to quickly learn new software programs and implement use of its functionality across the organization

- Experience with handling stressful situations
