Who We're Looking For :
Our ideal executive assistant is a talented professional who is super organized, cares about details and has previous experience providing high-level administrative support to an executive or in a similar capacity.
You are proactive, extremely confidential, and have a strong work ethic. You have grit, a good sense of humor and the ability to remain calm under pressure.
You must enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and team-oriented.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Both the real estate industry and this role are not a standard 9 to 5 job, so we need someone who is passionate about the work they do and the impact that they have on a company and our clients.
This is a long-term role in a high-pressure organization with high stakes as you will be supporting an industry-leading CEO in a growing organization.

This is not a remote position. This is an in-office role.
Compensation : $70,000+

Responsibilities :
- Maintain the executive’s calendar and schedule all calls, meetings, conferences, and appointments. Both personal and professional.
- Answer phone calls and emails, return messages, and filter to the appropriate individuals in order to protect the CEO’s time.
- Create travel itineraries and prepare any materials as necessary (electronic or paper).
- Take minutes / notes at specified meetings and prepare for distribution when necessary.
- Daily morning agenda update to CEO including the day of appointments / action items.
- Organize and coordinate the CEO’s daily schedule, including but not limited to managing his calendar; prioritizing his tasks and duties;
and scheduling and prepping him for all appointments and meetings.
- Take client meeting notes and create action items for each call and delegate responsibilities.
- Manage CEO’s travel arrangements, teaching engagements, vacations, and personal appointments.
- Help to coordinate Events for the CEO and Company (speaking engagements and marketing and coordination of the events).
- Strategize and assist with creating engaging content to be promoted on CEO's social media channels
- Complete special projects as needed for the CEO and team.
- Remember important dates - birthdays, anniversaries, etc.
- Help prepare Comparative Market Analysis reports prior to the CEO’s listing appointment.
- Attend Listing Appointments with the CEO, within standard office hours.
- Assist CEO with getting contracts and agreements signed for CEO’s clients.
- Connect with and foster relationships with current, potential, and past clients!
Qualifications :
- Willing to commute to and work in office located in Winchester.
- Proven experience as an Executive Assistant.
- Real estate experience is a benefit, although not required,
- Bachelor's Degree,
- Tech savvy and strong working knowledge of a variety of computer software applications. iPhone and Apple Products Experience is highly preferred.
- EA must be knowledgeable of current social media trends, and apps, and have knowledge in creating effective content and engaging the followers / audience.
- Strong organizational skills and the ability to perform and prioritize multiple tasks with excellent attention to detail.
- Excellent verbal and communication skills with high attention to detail in composing, typing, and proofing materials.
- Charismatic with a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
- Able to make quick and effective decisions, solve problems, as well as maintain confidentiality without having to be micromanaged.
- Ability to meet deadlines and stay calm under pressure in a fast-paced, quickly changing environment.
- Ability to work independently on assigned tasks as well as to accept direction on given assignments.
- Flexible and adaptable to changing schedules and demands.
- Strong interpersonal skills and ability to deliver a high level of customer service to luxury clientele : people-oriented, welcoming, warm, communicative and attentive.
