YOUR ROLE & RESPONSIBILITIES
Job Summary :
The ExecutiveAssistant provides administrative support to the President of BrenntagMid-South (BMS) and executive management team.
Job Description :
- Prepares agendas and schedules executive-related meetings; records minutes and ensures follow-up of action
- Plans and coordinates all travel arrangements including air, car & hotel accommodations for President and Executive Staff.
- Ensure detail arrangements are made for meals and reservations for President and other Executive Staff.
- Schedule staff meetings & gather staff topics to define and communicate agenda.
- Plans details related to group, all employee and location specific meetings for BMS .
- Work with Executive Assistants of other sub-region President’s to coordination for annual conferences to include customer / supplier meetings, lunch / dinner reservations.
- Manage expenses and expense reports
- Manages the charitable contribution process administration and leads committee to review and allocate funds.
- Supports phone call and voicemail management
- Manage calendar and schedule meetings for President and executive staff.
- Composes and prepares correspondence
- Receives, routes and files mail and correspondence.
- Send monthly birthday & anniversary recognition to employees
- Handle signing of documents & distribute to necessary parties
- Follow up with customers / suppliers for fully executed documents
- Handle work flow to free involvement of President
- Provides input and interprets and trains on policies and objectives of the organization in accordance with President's direction.
- Performs data analysis as requested for President and executive staff. Performs company and branch financial analyses of sales, tonnage, gross profit, expenses, profits, etc.
and determines fluctuations for improvement and relationship to necessary resources; guides and trains management on financial indicators
- Participates in executive and management meetings, provides input to management planning and training, and makes presentations.
- Receives, provides information and / or coordinates various requests to and from parent company; i.e. financial, sales, suppliers, regulatory matters, capital projects.
- Prepares all necessary Board resolutions and coordinates through parent company.
YOUR PROFILE
Education and Experience :
- High school diploma or GED required, Associates or Bachelors degree in Business Administration preferred.
- High level of proficiency in Microsoft Office, including Word, Excel, Outlook and Power Point.
- Exceptional communication skills, written and verbal in a professional and competent manner.
- Strong attention to detail, accuracy and confidentiality.
- Demonstrated organization and time management, to include the ability to multi-task and run multiple projects simultaneously while maintaining thoroughness and precision without supervision.
