Vacancy ID : P019128 Position Summary / Description : Hussman School of Journalism and Media invites applications for a full-time permanent time-limited position of Administrative Assistant that will provide comprehensive professional support for the dean's office.

  • This position staffs the front desk support and serves as an office manager : answers phones promptly and courteously; oversees the general email inbox;
  • manages visitor parking; serves as a backup approver for ad-hoc room reservation requests; maintains cleanliness of the dean's suite reception area and conference room;

orders supplies for the office; maintains office equipment; and maintains documentation and filing systems. The position works in tandem with the Executive Assistant to the Dean to perform an extensive range of highly visible activities such as communication with various school, university and external constituents at multiple levels.

The Administrative Assistant serves as the entry point for students, staff, faculty, and a variety of callers and visitors.

The Administrative Assistant may be asked to support the senior leadership team within the dean's office including document preparation, calendar support and requests for appointments, meetings, and travel.

The Administrative Assistant must analyze, prioritize, and keep track of multiple pieces of complex and often confidential information to make accurate, efficient recommendations regarding workflow, and provide facilitation and processing of information and verbal and written correspondence.

The Administrative Assistant must facilitate completion of work at a rapid pace on time-sensitive matters with routine interruptions.

All of the above must be done with minimal errors and utmost professionalism in an office whose priorities must adapt to evolving needs and demands from within the school and with strategic partners.

Education and Experience : High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
