Graduate Recruitment and Student Engagement Coordinator (Admissions Assistant)

Job Summary

Department-Specific Responsibilities

  • Leads biweekly information sessions and coordinates with stakeholders to include faculty involvement, topic-based presentations, and features from university partners such as Office of International Studies (OIS), Student Life, and Money Smarts.
  • Hosts daily 1 : 1 phone calls with prospective students to explain graduate program options, how to apply, and next steps.
  • Creates and procures swag for recruitment fairs and graduate student onboarding events.
  • Develops external student engagement efforts, including creating admission packet materials, and writing inquiry / applicant email campaigns.
  • Coordinates admissions and recruitment events, such as New Student Orientation, Admitted Student Open House, and individual visit requests.
  • Collaborates with the web team to collect updates from faculty and departments, ensuring the School of Public Health website aligns with university framework and improves recruitment conversion.
  • Liaises with marketing and communications team to create printed promotional materials, including pamphlets, postcards, and signs.
  • Travels within the state of Indiana to attend 8-10 recruitment fairs each year.
  • Processes graduate applications during peak application season.

General Responsibilities

  • Oversees the processing and evaluation of all applications for admissions into that school and accompanying material, such as transcripts, to determine eligibility.
  • Maintains records and databases of applications; updates and purges as necessary; gathers and collates information from records and prepares reports.
  • Reviews applications for completeness, contacts applicants for any missing information or to resolve discrepancies, and obtains any necessary information from other sources.
  • Schedules and oversees any applicant interviews.
  • Makes recommendations regarding admissions and financial aid decisions; contacts applicant regarding the decision on the admission application.
  • Responds to phone and email inquiries on admissions process and status of applications; may assist in the design of recruiting events and materials.
  • Counsels potential students regarding courses and grades required for admission.
  • May supervise temporary staff in the admissions office; monitors and evaluates job performance.
  • Maintains files and databases on students admitted into the school; generates reports based on this information.
  • May take on escalated and complex issues; may provide guidance to other admissions staff.

EDUCATION

Required

High school diploma or equivalent (such as HSED or GED).

WORK EXPERIENCE

4 years office or related experience.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment.
