Title : Refugee Matching Grant System Coordinator

Location : 4822 Broadway Ave, Chicago, IL 60640

Schedule : Hybrid, Monday to Friday 8 : 30am - 5 : 00pm

Summary :

Under the general guidance of the Supervisor of Refugee Employment Services, the Matching Grant Systems Coordinator is responsible for the day-to-day operations of the Matching Grant Employment program at Refugee and Immigrant Community Services.

This position provides employability career intakes and assessments, client database entry and maintenance, and supportive services to refugees and asylees referred to the Matching Grant program.

The individual also works collaboratively with staff from all areas of the organization in developing resources geared specifically to the needs of individual participants.

These may include housing, job training, employment, or special services for refugees, asylees, women, and immigrants. Individual accountabilities and work volume will be established through the development of annual Success Objectives, within the framework outlined below.

The Matching Grant Systems Coordinator leverages industry knowledge and best practices to promote the mission and vision of Heartland Human Care Services.

Essential Functions :

Duties & Responsibilities :

  • Conducts intakes and informational interviews with potential Matching Grant clients.
  • Documents biographical and financial information into online client database and database quality control.
  • Compiles, completes, and submits detailed program reports to stakeholders, ensuring accuracy and compliance with program guidelines.
  • Implements valuation of donated goods and services per program guidelines and incorporates into case file and program data base.
  • Reconciles financial information of cash and goods received on monthly and quarterly basis.
  • Develops and maintains Matching Grant volunteer information database to include hours of service, individual volunteer history, donated goods, and other data.
  • Develops employment prospects by conducting outreach to employers and employment agencies; facilitates partnerships and recruit new placements opportunities.
  • Meets with service providers, landlords, and employers to inform them of organizational program services, negotiates linkages and provides follow-up services to determine the success of the participants referred.
  • Partners with referral agencies in order to facilitate program growth.
  • Assists in the preparation of grant applications, which will increase resources or linkages to existing resources.
  • Participates in organizations and coalitions which help promote greater resources for participants.
  • Other duties may be assigned.

Education and Experience :

Associate Degree or equivalent and at least seven (7) years’ experience in sales, business, marketing or employment-related social service settings working with the hard to employ, special needs populations and the employer community.

Knowledge / Skills / Abilities (K / S / A) :

  • Demonstrated proficiency in Microsoft Office. Proficiency in Microsoft Access may be required.
  • Excellent communication and interpersonal skills. Demonstrate the ability to speak before large groups and have strong presentation.
  • Fluency in a second language may be required. Ability to read, analyze, and interpret general professional periodicals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Work Arrangement :

This role is eligible for a hybrid or remote work arrangement. If hybrid, it is expected this person would be able to meet for in person meetings when needed or at the request of others.

In-person meetings may be required on a regular basis (weekly, monthly, etc.). There may also be the availability to work from home when appropriate.

Work Environment :

  • The noise level in the work environment is usually moderate.
  • Each program site operates on a 24 / 7 basis, 365 days per year. To meet both the needs of our participants and contractual obligations, employees are required to be flexible in regards to scheduling and work location.
  • Program sites are located throughout the Chicago area, including the North and South sides of Chicago, as well as the suburbs.

Employees may be required to report to any one of our locations on a temporary or permanent basis.
