Position Overview :

The Associate Project Manager, RFPs will partner with the Public Policy and State Partnerships team along with departments across the organization to manage key RFP and State Partnerships projects and initiatives.

This role has the overall responsibility for the successful initiation, coordination, execution, monitoring, and closure of assigned projects while remaining aligned with strategy, commitments, and goals of the organization and Public Policy Team.

Specific Roles And Responsibilities

  • Coordinates the RFP process by bringing together key cross functional stakeholders to plan for and execute smooth internal and external communications and RFP readiness.
  • Coordinates the strategic planning of RFP submissions from inception to final submission, ensuring smooth and effective workflows and meeting established deadlines.
  • Facilitates strong communication within the team; works with sub-team leads to identify and delegate tasks to appropriate team members and ensure all tasks are successfully completed.
  • Develops strategic project timelines and production calendars based on prioritization, planning, and resource utilization.
  • Collaborates and interfaces with various teams throughout the company to define unique scope, goals, and deliverables of project.
  • Manages and meets proposal deadlines by establishing internal due dates for information gathering, writing / editing, approvals, and signatures.
  • Allocates project resources, assembles the leading project team, manages deliverables, and timelines to ensure project success.
  • Manages information and distributes meeting notes with actionable items.
  • Leads kick-off and post-mortem meetings to ensure meaningful collaboration in line with RFP requirements, and thoroughly evaluate projects and RFP outcomes, KPIs and continuous improvement efforts.
  • Supports with strategic decision-making on which RFPs to prioritize.
  • Ensures a robust process of notification, documentation, and escalation is in place to report on both successes and risks along the lifecycle of projects.
  • Develops new and innovative ways to delegate, track, and report on projects.
  • Works in support of building a culture of growth, satisfaction, high performance, and positive relations for all project teams.
  • Develops strong, cross-departmental working relationships.
  • Challenges the status quo, champions new initiatives, and acts as a catalyst for change that drives continuous improvement in business performance and project management.
  • Occasional domestic travel.

Qualifications

  • Minimum 3 years of Project Management experience.
  • Ability to multi-task on a variety of projects in a fast-paced environment.
  • Excellent interpersonal and communication skills (written and verbal).
  • Ability to partner and communicate effectively across different business teams and levels.
  • Ability to facilitate large cross-functional meetings and delegate tasks.
  • Excellent time management skills, punctual, and a strong ability to prioritize with a strong attention to detail.
  • Proven administrative and organizational skills.
  • Adaptable, committed, aware, and drives the Teaching Strategies mission.
  • Ability to thrive in goal-oriented environment as a proactive and driven contributor.
  • Familiarity with all Teaching Strategies products.
  • Comfortable with Asana system.
  • PMP certification or coursework is a plus.
