Position Title : Accounting & Finance Assistant
Reports to : Director of Accounting & Government Relations, Finance Department
Job Description
The Accounting & Finance Assistant is a critical member of the Finance and Accounting Department and is responsible for performing all day-to-day functions of the accounting department including, but not limited to, Accounts Payable, Accounts Receivable, Payroll and proper recording of revenues and expenses.
Accounts Payable
- Receive, review, research, and forward for approval, when necessary, all invoices and check requests presented for payment.
- Timely and accurate entering of all invoices and check requests into the accounting system.
- Compile all necessary invoices and check requests after check selection.
- Coordinate check signers.
- Maintain complete and accurate files.
- Address staff and vendor inquiries and resolve any problems.
- Review and reconcile vendor statements.
- Review credit card reports and ensure receipts are received and matched accordingly.
Accounts Receivable
- Timely and accurate entering of deposits into the accounting system.
- Prepare reimbursement vouchers in a timely manner in compliance with Federal guidelines and pass-through agency requirements.
- Communicate with Administrative Operations staff to accurately allocate expenses among grants and programs.
- Manage tagging in QuickBooks and Government Grant allocation spreadsheet.
Payroll
- Process bi-weekly payroll for employees accurately and in a timely manner.
- Address payroll-related inquiries from employees and management.
- Prepare and distribute payroll reports as required.
- Collaborate with HR on payroll-related matters, including new hires, terminations, and changes in employee status.
Administrative Support
- Answer phone calls, direct inquiries, and take messages as needed.
- Prepare and process invoices, purchase orders, and expense reports.
- Schedule meetings, appointments, and manage calendars for finance department staff.
Other
- Provide backup support for other administrative personnel, as needed.
- Other duties as assigned.
Requirements :
- Bachelor’s degree required. Additional certification in office administration or finance is a plus.
- Basic understanding of accounting principles and financial procedures.
- Proficiency in QuickBooks (preferred), Microsoft Excel and Word.
- Excellent organizational skills.
- Proven ability to prioritize work and handle multiple tasks simultaneously.
- Excellent communication skills, both verbal and written.
