Job Responsibilities

Overall support will include but is not limited to :

The Office of Student Affairs in the Wegmans School of Pharmacy (WSoP) :

  • Phone screening for the Office of Student Affairs
  • Prepare correspondence and mail merges for mailings from the Office of Student Affairs
  • Maintain inventory of office supplies, printed materials
  • Receive visitors to the Office of Student Affairs
  • Coordinate schedules, meetings, and room assignments for the Office of Student Affairs and student organizations
  • Planning / execution of special events such as the P1 Orientation / Immersion (including the White Coat Ceremony), Honors Night, Awards Luncheon, Exploring Program, etc.
  • Place items on the WSoP announcement monitors
  • Attend WSoP committee meetings with the Assistant Dean for Student Affairs and prepare minutes from those meetings, if requested
  • Providing support to the Admissions Committee, Co-curricular Committee, Student Honors and Awards Committee

Budget responsibility :

  • Coordinate annual disbursement of student affairs monies to the various organizations / clubs in the WSoP
  • Monitor and balance Office of Students Affairs, student government ( PSGA ), and the various WSoP student organization / clubs accounts and funds
  • Prepare expense reimbursement requests as needed, for student organizations, Assistant Dean of Student Affairs; process purchasing card statements

Data / information management :

  • Oversee the WSoP student file system
  • Handle the functional aspects of the Banner System relevant to the functional area. Responsibilities include data input, data maintenance, and generating reports
  • Along with the Assistant Dean of Student Affairs, manage the Pharmacy Student Center housed in the University's course management system or equivalent
  • Along with the Assistant Dean of Student Affairs, compile statistical reports for each pharmacy student class. These reports are used as part of the ongoing accreditation process
  • Create and maintain email distribution lists of each of the WSoP classes
  • Along with the Assistant Dean of Student Affairs, track student progress toward SCALE requirements
  • Receive and track student organization events information
  • Assist the Assistant Dean of Student Affairs in verifying statuses for WSoP students and / or graduates seeking pharmacist licensure and / or pharmacy intern permits
  • Facilitate the registration of incoming P1 students for first semester courses in both pathways
  • Assign developmental mentors to the incoming class and manage changes in mentoring assignments of existing WSoP students using both Banner and CORE

Cross Campus Service :

Coordinate with the Office of First-Year Admissions and Graduate Admissions, the Center for Career and Academic Planning, the Honors Program, and other offices as needed

Education / Experience

Associate degree and / or previous experience in an academic environment is desirable.

  • Excellent communication and interpersonal skills

  • Excellent time management and organizational skills
  • Ability to change priorities over time as the school and department needs evolve

Competencies / Skills

Applicants should have :

  • Basic computer skills
  • Familiarity with common computer office programs (e.g. Microsoft office, Adobe, internet)
  • Ability to learn new computer-based applications
  • Prior working knowledge of basic office / teaching machinery (e.g. copiers / printers, scanners, projectors, classroom podiums)
