Position Summary : The Administrative Support Assistant will be pivotal in ensuring smooth day-to-day operations by providing comprehensive administrative support, coordinating travel arrangements, and assisting with procurement activities.
The ideal candidate will be highly organized, efficient, and capable of managing multiple tasks simultaneously. This position will report to the Senior Manager, Procurement & Lab Operations, and work in partnership with other administrative positions in Biomason.
This position is a part-time opportunity, offering a flexible schedule. Ideal candidates would be available from Monday through Friday, 1-5pm.
Typical Duties / Responsibilities :
Travel Coordination (40%)
Arrange and manage travel itineraries, including flights, accommodations, and transportation for employees.
Ensure travel arrangements align with company policies and budget constraints.
Handle travel-related inquiries and resolve issues promptly.
Procurement Assistance (40%)
Support the procurement process by creating purchase requests and maintaining procurement records.
Liaise with vendors and suppliers to ensure timely delivery of goods and services.
Assist in managing supplier relationships.
General Office Assistance (20%)
Help maintain the cleanliness of the office environment.
Assist in receiving packages and stocking supplies.
Assist with office events, meetings, and employee activities.
Provide support for other administrative tasks as required.
Education / Qualifications :
Working towards an Associates or Bachelors degree from an accredited college or university, or 1-2 years of relevant work experience.
Competencies :
Proven experience in an administrative or support role, preferably in a dynamic and fast-paced environment.
Strong organizational and multitasking skills with keen attention to detail.
Excellent verbal and written communication skills.
Proficiency in Google Workspace (Docs, Sheets, Slides, Gmail).
Experience in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) a plus.
Experience with travel booking systems and procurement software is a plus.
Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
Strong problem-solving skills and the ability to handle sensitive information with discretion.

Remain stationary for long periods of time, often standing or sitting for prolonged periods

Ability to communicate with others to exchange information
Ability to lift 25 lbs
