Purpose

The Research Program Coordinator - Events will report to the Director of the Pharmacy Addictions Research & Medicine (PhARM) Program.

They will collaborate with internal staff and external partners to plan and execute research and training events (in-person and virtual), as well as related purchasing logistics.

Events range from large conferences for external academics and clinicians such as the Texas Substance Use Symposium, to internal program events such as the PhARM Program Annual Retreat & Celebration.

This role requires a high level of collaboration, attention to detail, and the ability to manage multiple tasks in a dynamic academic environment.

The PhARM Program is a research and training unit with a growing core team of two full-time faculty, five full-time staff, and seven part-time staff and trainees.

We collaborate with a large network of internal and external partners - including the Texas Health and Human Services Commission, the City of Austin, and the Be Well Institute at UT Health San Antonio - to implement and evaluate projects addressing substance use challenges in our community.

We are embedded in the College of Pharmacy , which is consistently ranked in the top 10 pharmacy schools in the United States.

Responsibilities

Evaluate venues and coordinate vendor contracts for events with up to 600 in-person attendees

Plan and coordinate on-site logistics for 4+ in-person events each year, including occasional events outside the Greater Austin Area

Coordinate communication with planning committees, advisory boards, and speakers

Recruit and coordinate communication with event sponsors and exhibitors

Coordinate purchase orders, invoicing, travel, and reimbursement for a variety of vendors and speakers

Plan and coordinate logistics for virtual events

Additional duties as assigned

Required Qualifications

4+ years of experience in events coordination OR bachelor's degree and 2+ years of experience

Proficiency in virtual communication and collaboration tools (e.g., Zoom, Webex, Google Drive, Box, Microsoft Office)

Demonstrated ability to plan, develop, and coordinate large events

Record of excellence in coordination and problem-solving with partners, vendors, and customers

Excellent organizational skills with attention to detail, ability to multi-task, and ability to manage projects with varying deadlines

Excellent ability to work effectively and collaboratively in a team-oriented environment, both virtually and in-person

Excellent verbal, written, and interpersonal communication skills

Professional demeanor and ability to interface effectively with staff, faculty, partners, vendors, customers, and others

Preferred Qualifications

Work experience related to substance use, addiction, harm reduction, or associated issues (e.g., mental health, psychiatric disorders, infectious diseases, chronic pain)

Lived experience related to substance use, addiction, harm reduction, or associated issues (e.g., mental health, psychiatric disorders, infectious diseases, chronic pain)

Relevant education and experience may be substituted as appropriate.

Salary Range

$60,000+ depending on qualifications

Working Conditions

This position allows for up to 80% teleworking

Repetitive use of a keyboard at a workstation

Periodic travel within Texas

May be required to lift and carry up to 30 lbs

Employment Eligibility :

Retirement Plan Eligibility :

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
