Role Description
This is a full-time on-site role located in Solana Beach, CA for a Manager, Tenant Coordination. We are seeking a highly motivated, detail-oriented Tenant Coordinator to oversee tenant improvements (TI), landlord work, and construction execution across a diverse portfolio of retail, office, and mixed-use properties. Acting as the primary liaison between tenants, landlords, contractors, consultants, leasing, property management, and development teams, this role guides projects from lease negotiation through tenant opening and final closeout.
The ideal candidate combines strong construction project management expertise with the ability to manage multiple priorities, maintain positive tenant relationships, and ensure projects are delivered on time, within budget, and in compliance with lease and design requirements.
Key Responsibilities
Pre-Lease & Lease Execution
- Partner with Leasing to prepare work letters, budgets, schedules, demising studies, and space plans.
- Review LOIs, lease abstracts, and exhibits for accuracy and feasibility of obligations.
- Conduct space assessments, prepare Lease Outline Drawings (LODs) and manage consultants and deliverables.
- Deliver Tenant Welcome Packages with design guidelines, as-builts, signage criteria, and process documentation.
Tenant Construction Coordination
Serve as primary contact for tenants and TI teams through design, permitting, and construction.Review and approve drawings, signage, and design submissions for compliance with lease and property criteria and standards.Lead pre-construction meetings, site walks, and coordinate property management approvals.Monitor construction progress ensuring compliance to criteria, building systems through punch list completion.Address tenant inquiries promptly and deliver responsive, high quality customer service.Landlord Work & Construction Oversight
Develop, bid and manage landlord scope of work with contractors, architects, and consultants.Oversee delivery of landlord obligations to align with turnover and rent commencement.Manage punch lists, inspections, and turnover notifications.Ensure landlord and tenant work conforms to lease requirements, budgets, and schedules.Financial & Documentation Management
Track and process Tenant Improvement Allowance (TIA) reimbursements, pay applications, and invoices.Collect and verify insurance, lien waivers, and compliance documents.Prepare RFPs, conduct bid analysis, manage RFIs, submittals, and change orders, and prepare contracts.Maintain organized project files (contracts, permits, construction drawings, schedules, and closeout documentation).Produce agendas, meeting minutes, project reports, and annual performance metrics.Standards, Tools & Process Management
Maintain Tenant Guidelines, Signage Criteria, and Property Manuals.Create and update lease exhibits, demising studies, and base lease plans in AutoCAD; edit visuals for presentations.Use project management tools (Procore, Smartsheet, Yardi) for tracking and approvals.Drive efficiency by improving templates, processes, and reporting.Collaboration & Stakeholder Engagement
Partner with leasing, project management, operations and asset management teams to ensure alignment with outcomes.Liaise with architects, engineers, contractors, and AHJ for plans, permitting, inspections, and approvals.Support capital improvement projects as needed.Qualifications
Bachelor’s degree in construction management, Architecture, Engineering, Interior Design, related field; or equivalent experience.5–7 years in tenant coordination, commercial real estate, or construction project management (minimum 3 years in a coordination role for smaller portfolios).Strong ability to read and interpret construction drawings, lease agreements, work letters, MEPS plans, and signage documentation.Demonstrated success managing multiple projects simultaneously in fast-paced retail, office, or mixed-use environments.Familiarity with permitting, regulatory approvals, BOMA standards, and tenant improvement processes.Proficiency in Microsoft Office Suite; experience with AutoCAD, Bluebeam, Photoshop / Canva, SketchUp, Yardi, and other project software.Prior experience with grocery-anchored centers, mixed-use developments, or large retail projects preferred.Experience reviewing contractor insurance, construction bids, and lease exhibit language.Core Competencies & Skills
