Position Summary :

The Community Programs Coordinator provides strategic direction and administrative oversight of the youth Pre-College program which includes summer camps, weekend workshops and other engaging and educational programming for pre-college learners age 14-18 for PNCA.

The coordinator may also collaborate within the college and the wider university on the design / development of community-facing and life-long learning projects such as teacher workshops, community education classes and workshops, and special events focused on learning and exploration for lifelong learners.

This position manages departmental budget and contracts, identifies instructors and schedules community courses and events, coordinates internally on marketing and promotion for programs in their portfolio, and may oversee volunteers and student workers.

This position also manages other administrative tasks related to their role including : data entry, registration, answering emails, systematic record-keeping, research, project management and internal communication.

The person in this position must be able to work independently to serve as a welcoming and is a member of the Community Partnerships Team at PNCA.

This position reports to the Dean and as such may have additional research, events or projects as assigned.

Duties and Responsibilities

Pre-College Program Coordination

Develops strategic plan and program expansion plan for Pre-College in collaboration with faculty, admissions and Deans’ Office

Responsible for day-to-day oversight and operations of the Pre-College programs.

Manages departmental budget, contracts and vendor relationships including credit card management and tracking.

Creates annual course schedule, hires instructors and student workers.

Leads course registration process and system of record.

Creates and disseminates social media, marketing and external communication plans related to Pre-College programs in collaboration with the Assistant Director of Public Programs & Events.

Oversees student workers and volunteers; may supervise other budgeted staff.

Provides forward-facing support to Pre-College students and their families with world class customer service.

Experience with student ADA accommodation support and / or universal design in program development.

Experience creating program assessments and evaluations and using participant data for continuous improvement.

Demonstrates a commitment to diversity, equity, inclusion, and student success, and a high level of interpersonal and intercultural literacy.

Complies with risk management and youth protection requirements in accordance with state and local laws and internal Willamette policies.

Community Partnerships

Works with Public Programs team to identify and maintain external community partnerships with nonprofit cultural institutions, schools and grassroots organizations.

Under the supervision of the Dean, manages a portfolio of community partnerships, special projects that are related to life-long learning and community relations.

May created workshops, learning events and professional development programs for artists, art teachers and other lifelong learners.

Works with Events & Promotion and Gallery & Exhibition staff on public programs as necessary including First Thursdays.

Other Administration

Conducts academic / learning / community program research and outreach as assigned by Dean / Sr. Associate Dean.

Manages data entry, budget / p-card administration, student worker / volunteer supervision, email / communications and other administrative tasks as assigned.

May serve on university committees or groups as assigned by the Dean.

Minimum Qualifications

Bachelor’s degree and 2-3 years of program coordination, event or arts management experience.

2-3 years of progressive supervisory experience (including staff and volunteers).

Equivalent education / experience will substitute for all minimum qualifications except where there are legal requirements such as license or certification.

Experience with youth programs and young audience learning in community or art based settings.

Experience managing projects, programs including budgets, communications and or program oversight.

Ability to work independently and collaborate with internal / external partners.

Ability to communicate effectively orally and in writing.

Proficient knowledge of Google suite. Skills in internet navigation and email and calendaring systems. Willingness and ability to learn new technologies associated with the job.

Excellent interpersonal / people skills with ability to interact with diversity of people both in and out of the University, and at different levels of the organization.

Familiarity with basic HR functions recruiting, interviewing, hiring.

Familiarity with program evaluation or assessment.

Ability to take direction, follow through on projects and problem solve independently.

A demonstrated commitment to diversity, equity, inclusion, and student success.

Candidates must reside in Oregon on or before the first day of employment or be able to perform the job duties in Oregon.

Preferred Qualifications

Experience within a community-focused and / or arts organization or with social practice art.

Experience working with K-12 youth or school programming and / or direct experience teaching art- or design-based instruction.

Event planning experience.

Demonstrated ability to meet deadlines in a fast-paced and quickly changing environment.

Typical Work Schedule

Monday through Friday, 8 am to 5 pm. Some evening and weekend hours on occasion. Position is eligible for hybrid work schedule after six month onboarding period.

This position is located at Portland Campus, PNCA.

Physical Demands & Working Conditions

Typical work is performed indoors in a normal office environment, with some expectations for classroom support and supply management, which requires lifting up to 20 pounds.

Salary : $55,488
