Job Description
The Operations Manager is responsible for the delivery against strategic and tactical targets leading to an efficient and flawless execution of assigned events to include Art Miami and SMCS Events with support on other South Florida events dependent upon availability.
Role Accountability and Duties :
- Operations budget management, specifically rental equipment and onsite supplies
- Warehouse Management
- Maintain organized & efficient warehouse
- Tracking & Management of Inventory
- Repair / Replace assets as needed
- Source Materials
- Wall Re-hab
- Source Labor
- Onsite Management & Daily Reports
Pre-Fair
- Source materials such as paint, tape, bracing, light bulbs, extension cords, carpet and specialty paint
- Conduct inventory assets and compare to show requirements
- Repair / replace assets as needed
- Conduct pre-production site inspection with property owner
- Negotiate with wall rehab contractors
- Organize water connections with city
- Arrange inspections
- Assist in development and management of schedules for security, cleaners, police, EMTs
- Source pedestal production
- Arrange storage trailers or tenting for empties
- Participate in development lot usage plan locations of restrooms, dumpsters, storage, bone yard, drop off, outdoor sculpture, etc.
- Plan for show extension activities i.e. Marriott build
- Participate in vendor meetings
Production
- Assist in the supervision of vendors
- Train contractors in correct wall construction and hardware methods
- Participate in daily vendor briefings
- Assist in Production schedule management
- Communicate misses and establish strategies to recover lost time
- Assist in assurance of quality of booth construction
- Ensure lighting, special paint, flooring orders installed
- Coordinate shipping of assets
- Ensure safety of equipmentand onsite safety procedures
- Be on-site for placement of all ancillary and vendor equipment
- Coordinate with caterers for power / water requirements
- Coordinate inspections
- Oversee fair extension activity builds
Fair
- Assist in the opening of fairs
- Under direction of Director of operations, coordinate activities of security, cleaners, and other vendors
- Assist in onsite issue resolution
- Participate in daily vendor meetings, train and communicate with vendors
- Daily incident reports
- Coordinate with police and ems
Post Fair
- Coordinate freight out
- Ensure security of clients’ merchandise
- Assist in securing company assets
- Coordinate transfer of assets to warehouse
- Participate in daily vendor meetings
- Ensure care is taken to minimize lot damage
- Supervise vendor lot repair activities
- Conduct final inspection with property owner once completely offsite
Purchasing
- Responsible for purchasing of warehouse supplies related to all South Florida Venture events.
- Assist Senior VP with yearly CAP / Ex, data collection and data input.
- Obtain and select suppliers using 3 quote system
- Deliver quality products, service and supplies in a cost effective and timely manner
- Responsible for the follow up and order acknowledgement to insure accuracy

- Experience and ease establishing external relationships with partners, vendors and clients, alike.
- Must be a strong collaborator, working well with many types of personalities.
- Deep understanding of the industries and markets we serve.
- Proven ability to negotiate contracts and manage vendors
- Ability to execute the design, install, management and dismantle of each fair
