Medical Assistant Duties and Responsibilities

The medical assistant duties are wide-range and include :

Adhere to HIPPA standards maintaining strict patient confidentiality

o Keep all charts, lab and other studies out of sight of other patients, visitors or vendors

o Schedule appointments for consultants, diagnostic studies and all confidential matters in a manner that confidential information is never overheard by others

Organization and maintenance of the examination rooms

o Clean areas must be kept clean, exams tables and trays must be properly disinfected, chairs in exam rooms are to be protected from contamination.

Soap and paper towels must be available in the exam rooms prior to the entry of the patient or doctor.

o Supplies required for exams such as PAP smear kits, occult blood kits, ear speculums, gowns and drapes must be available to the doctor in the exam room prior to the patient’s entry

o Before the patient enters the exam room, the room must be free of debris such as band aid wrappers and needle covers, lights must be on and exam table step must be in the extended position.

Ophthalmoscopes and electrical tables must be plugged in.

  • Maintain the work flow of the office by keeping patient appointments on schedule by notifying the physician of the patient’s arrival and reminding the doctor of service delays
  • Organization and maintenance of medication closet

o Keep records of all medication samples received and dispensed as required by guidelines and laws

o Remove expired medications and follow procedures for disposal

o Maintain constant supply of aspirin and sublingual nitroglycerine for emergency use

  • Proper disposal of contaminated supplies
  • Organization and maintenance of medical records
  • Interviewing patient regarding the chief complaint and reason for visit
  • Preparation of patient for examination

o Vital signs

o Distribution of gown and drape

  • Drawing blood and assuring proper collection of urine specimens and label and prepare specimens for lab pick-up.
  • Administration of medications and injections as directed by the physician
  • Explain treatment procedures, medication, diets and other physician instructions to patient
  • Collection and processing of payments
  • Support front office and receptionist as follows :

o Scheduling appointments in a manner that optimizes patients’ satisfaction, provider time and treatment room utilization

Provides sufficient time for the level of exam scheduled

Takes into consideration the urgency of the complaint when scheduling appointments

Reschedules appointments when necessary in a manner respectful of the patient’s time

o Registration of new and returning patients

o Verification of health insurance coverage

Skills and Qualifications :

  • Ability to demonstrate initiative with problem solving and front office organization
  • Graduate of accredited medical assistant training program
  • 1+ years’ experience working for a healthcare practice or hospital
  • High level of professionalism
  • Strong customer service skills
  • Strong organizational skills
  • Excellent written and verbal communication skills
  • Knowledge of HIPPA requirements
  • Ability to demonstrate patience when interacting with patients
  • Ability to work as a team with physicians and other office staff

AAMA Certification preferred but not required
