The Executive Assistant will provide high-level administrative assistance to Geben’s leadership team. The majority of support will focus on assisting the CEO with key responsibilities, including managing email and calendar activities, removing barriers or distractions that decrease her productivity, and strengthening her online presence.

Beyond the CEO, this person will partner with other members of the leadership team on various administrative and coordination tasks to ensure the smooth, efficient operation of the team and office.

POSITION OVERVIEW

We’re hiring an Executive Assistant who plays by ourHouse Rules. Details for this role include :

Responsibilities :

Email and Calendar Management :

Streamline the CEO’s inbox, ensuring prioritization of critical communications and effective management of email traffic.

Coordinate and optimize the CEO’s calendar, including scheduling meetings, responding to invitations, and ensuring effective time management.

Content Marketing Support :

Assist in developing and maintaining the CEO’s LinkedIn profile and other social media platforms (e.g., publishing content, identifying photos for upcoming posts, etc).

Client and Partner Engagement :

Identify and organize the sending of appreciation gifts to clients, partners, and friends of the company.

Assist in planning and coordinating logistics for client visits, including catering and hospitality services.

Administrative Support for Leadership Team :

Provide document and presentation support by preparing meeting materials and formatting documents.

Assist in managing travel arrangements and itineraries, particularly for visiting VPs, ensuring productive visits.

Support project management for leadership initiatives, maintaining internal communications, and managing the company-wide calendar.

Operational Support :

Assist in scheduling all-team meetings and managing all-team events.

Partner with the Operations team to execute certain company processes, such as pulling timesheet data or creating Slack channels

Share office reception duties, including answering company phone and general email inquiries.

Preferred Qualifications :

Proven experience as an Executive Assistant or similar administrative role.

Strong organizational skills with the ability to multitask and manage multiple projects simultaneously.

Excellent communication skills, especially verbal and written. Bonus if you are skilled at PowerPoint, Keynote and / or Canva to support visual communication.

Proficiency in office management systems, Google Suite, and Microsoft Office.

Proficiency in digital communication and scheduling tools, including LinkedIn for content management, Google Calendar, and Gmail, with a demonstrated ability to effectively utilize these platforms for business communications and organizational efficiency.

Ability to maintain a high level of confidentiality and discretion.

Personality Traits :

Strong initiative and the ability to work effectively under minimal supervision.

Confidence in making decisions and recommendations that align with the CEO’s pace and work style.

Adaptive and proactive in managing tasks and responsibilities.

Not suitable for individuals who are passive, require frequent direction, or lack confidence in their decision-making skills.

Work Environment :

While we support a hybrid work environment, this position requires a presence in our downtown Columbus office, most likely 2-3 days a week.
