Frost Brown Todd LLP, a national law firm of 1000+ legal and business professionals in seventeen markets, is currently seeking an Administrative Assistant to join our Cincinnati office.
The Administrative Assistant will be responsible for providing high-level administrative support to the Regional Office Manager and C-Suite executives.
A successful candidate will be a self-starter with a client service mindset who is highly organized, able to manage multiple priorities and work collaboratively with others in a fast paced, team-oriented environment.
Strong communication skills, excellent judgement, and the ability to deal discreetly with confidential information are required.
Key Responsibilities :
- Provide administrative support to the Regional Office Manager, C-Suite executives and other managers as assigned. Support may include miscellaneous typing, answering phone calls and taking messages.
- Assist with travel arrangements and submit travel expenses for reimbursement.
- Assist the Regional Office Manager with employees’ timesheets.
- Assist the Regional Office Manager with scheduling employees' PTO time and arranging appropriate coverage.
- Maintain, coordinate and track the opening and terming of leases. Communicate with lenders as needed to make payments or add / remove items from leases.
- Process invoices for approval using the firm’s accounting software.
- Reconcile and code monthly credit card statements.
- Assist with calls regarding facility issues related to the building and parking garage.
- Assist with the scheduling and planning of meetings.
- Provide backup reception coverage as needed.
Job Requirements :
- High School Diploma.
- Approximately 3 years on the job experience necessary in order to perform complex administrative duties in a professional service setting.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Ability to proofread typed material for grammatical, typographical and spelling errors.
- Interpersonal skills necessary in order to communicate in person, by e-mail and telephone to provide information with ordinary courtesy and tact.

- Ability to observe confidentiality of employee matters.
