Day to Day Responsibilities : Front Office Manager

Create and Maintain a Welcoming Environment for Patients :

  • Responsible for daily opening, closing, and ongoing duties for the Clinic space to ensure a clean, curated, and welcoming environment.
  • The front desk manager is the face and voice of the clinic. This is one of the most important positions at this office.

Be polite, professional and friendly.

  • Answer phones during posted office hours and be available to schedule appointments, answer questions and accept payment.
  • Pre-Visit : Contact patients with appointments the following day to confirm appointments, answer questions and set the tone for their visit.

The FOM will also be responsible for collecting credit card information, pre-registering with their personal information and having patients sign consent forms in advance of their visit.

Administrative Duties :

  • Check email and patient correspondence throughout the day and respond to all emails, text messages, and voicemails in a prompt manner.
  • Responsible for patient follow-up and ongoing communications between Providers regarding pre-visit requirements, follow-up visits, and scheduling future treatments.
  • Master and maintain clinic software and collaboration tools to ensure smooth patient flow and constant inter-office communication
  • Responsible for keeping stock of and ordering office supplies required for day-to-day operations of the physical space.
  • Responsible for maintaining inventory, merchandising, and promotion of the Clinic's retail offerings. This includes consultative selling of retail items upon check-in / check-out and learning about the benefits of each product with respect to each patient as recommended by their provider.
  • Collaborate with Medical Assistants to ensure sufficient inventory of Aesthetic Products
  • Participate in Clinic Marketing Efforts with duties including : Social Media content, patient referral tracking, website maintenance, and email / SMS marketing blasts.

Qualifications

  • 2+ Years of MedSpa or related Front Office Management experience
  • Experience with multitasking and working in a fast-paced, dynamic setting.
  • Strong interpersonal and communication skills
  • Strong computer skills, including Google Suite, Microsoft Office, EMR
  • Strong ability to articulately and professionally communicate via email
