PGT Trucking is seeking a highly organized and detail-oriented Manager of Service Agent to oversee all non-emergency outside repair processes.
The ideal candidate will manage the entire lifecycle of outside repairs, from receiving requests to processing invoices.
This role requires excellent communication skills, a strong ability to manage vendor relationships, and a proactive approach to problem-solving.
KEY RESPONSIBILITIES :
Manage Outside Repair Processes :
- Handle all outside repair requests sent from the shops.
- Coordinate non-emergency outside repairs for Operations, ensuring timely and efficient resolution.
Vendor Coordination :
- Identify and select appropriate vendors to handle repair work.
- Create and manage Purchase Orders (POs) for repair work.
- Maintain effective communication with vendors to monitor progress and resolve issues.
Communication and Follow-Up :
- Communicate with Operations throughout the repair process to provide updates and gather necessary information.
- Follow up with vendors and Operations to ensure repairs are completed to satisfaction and within the agreed timeline.
Invoice Processing :
- Review and process invoices related to outside repairs.
- Ensure accuracy and compliance with company policies and procedures before approval.
Documentation and Reporting :
- Maintain accurate records of all repair requests, POs, and invoices.
- Generate reports on repair activities, vendor performance, and costs for management review.
Continuous Improvement :
- Identify opportunities for improving the outside repair process.
- Implement best practices and standard operating procedures to enhance efficiency and effectiveness.
QUALIFICATIONS :
Education and Experience :
- Minimum of 3 years of experience in a similar role within the trucking or logistics industry.
- Proven experience in vendor management and procurement.
Skills and Competencies :
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in using maintenance management software and Microsoft Office Suite.
- Detail-oriented with strong analytical and problem-solving skills.
- Ability to work independently and manage multiple tasks simultaneously.
