Responsibilities :
- Greet visitors, contact appropriate employees, and manage visitor office reservations and requirements.
- Answer main switchboard calls, convey messages to attorneys and team members, and monitor / report suspicious behavior.
- Schedule and confirm conference room reservations, manage catering, and set up for internal meetings / events.
- Handle HVAC requirements, office maintenance, and assist with light administrative duties and special projects.
- Maintain a professional and clean receptionist area, analyze invoice / expense reports, and manage vendor payments.
- Manage records, data entry, and process requests through LegalKEY; assist with IBS Security System, parking validation, invoice payments, and vendor coordination.
- Support maintenance requests and provide backup for Office Administrator.
Qualifications :
- Excellent communication skills, telephone etiquette, and ability to maintain a professional demeanor, strong interpersonal skills for client, attorney, and staff interactions.
- Highly organized, detail-oriented, able to multi-task, meet deadlines, work under pressure, and manage calendars effectively.
- Exceptional judgment, discretion in handling calls and confidential information, and a proactive team player who can also work independently.
- Two to Five years of administrative law firm experience preferred, strong knowledge of MS Office (Word, Excel, PowerPoint, Outlook), and flexibility for overtime.
