POSITION PURPOSE
The Service Coordinator manages the process and close out of all shop preventive maintenance contracts. Will coordinate, prioritize, and schedule the shop's daily activity providing progress updates and related information to Division managers and employees.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Employee shall perform all duties and responsibilities with Sunland's Core Values at the forefront.
- Must be an advocate of safety and follow safety policies and procedures.
- Track all major equipment rebuild projects to include budgeted project expenditures.
- Receive all daily fuel / lube requests providing dispatch sheets to lube crews by 1 : 00 pm each day.
- Fuel transfer sheets to Fleet Admin including Fuel / Lube Truck and all 900 transfer tanks.
- Approve and / or enter Timecards when overflow.
- Process new equipment set-up sheets to include signoff, photos, and third-party vendors and send photos over to Shop Coordinator.
- Responsible for organization of parts room.
- Call into weekly production and tailgate meetings.
- Monthly reporting of meter and / or odometers to Fleet Admin.
- Identify, gather, and submit dispersal list to Fleet Coordinator and prepare items for auction.
- Partner with Shop Superintendents to coordinate all scheduled repairs.
- Receive, distribute, process and close out all daily inspection reports / work orders.
- Order fuel for bulk tank on a weekly basis.
- Willing to work in cooperation and as part of a high-functioning team.

Safety
- This position is considered a safety-sensitive position and is subject to the company's drug and alcohol policy, as well as all OHSA regulations.
- All employees must wear the appropriate personal protective equipment (PPE).
- Serves as a safety ambassador by complying with federal, state and local laws, as well as Company safety policy, enforces safe work practices, and proactively identifies and remedies worksite hazards.
Physical Demands and Work Environment
- This position operates in a professional office environment that routinely uses standard office equipment requiring the ability to communicate in person and over the telephone with other employees, the ability to interpret printed materials and a computer screen, the stamina to maintain attention to detail despite interruptions, the ability to lift and carry supplies and files weighing up to 10 pounds and to move about the inside of the office to access supplies, office machinery, etc.
- May be required to work on a project site and if so, would be exposed to all weather, including extreme hot and cold temperatures.
- Employee might be exposed to various chemicals, vapors, pollutants, virus or other air-borne pathogens, gases, uneven surfaces, loud noises, moving vehicles or machines and dust / debris.
Position Type / Expected Hours of Work
This is a full-time position. Occasional evening and weekend work may be required as job duties demand.
Travel
Must be willing to travel to any and all jobsites without exception (including staying away from home if necessary.)
MINIMUM QUALIFICATIONS
Education and Work Experience
- High School Diploma or GED required.
- Minimum Five (5) years' experience coordinating equipment and / or trucking scheduling and dispatching.
- Experience with scheduled oil sampling and disposition based on results.
- Knowledge of DOT rules and regulations.
- Strong computer skills; equipment management software experience a plus!
- Proficient in Microsoft Excel.
- Strong critical thinking skills.
- Must be fluent in English, i.e., must be able to speak, read and write English.
Certifications, Licenses, and Registrations
- A valid driver's license and a clean motor-vehicle record preferred.
- Passing a pre-employment drug and alcohol screening and background check is required.
