Summary
The Medical Assistant Scribe performs all clinical and office duties of a Medical Assistant as well as performs clerical and information technology functions for a physician in a clinic setting when acting in the capacity of a Medical Scribe.
Essential Functions and Responsibilities Include the Following :
- Understands and adheres to the WPH Performance Standards, Policies and Behaviors.
- Fulfills patient care responsibilities as assigned that may include checking schedules and organizing patient flow; accompanying patients to exam / procedure room;
- assisting patients as needed with walking transfers, dressing, collecting specimens, preparing for exam, etc.; obtaining patient history;
performing screenings per provider guidelines; assisting providers / nurses with various procedures; charting; relaying instructions to patients / families; answering calls.
Fulfills responsibilities as assigned that may include sending / receiving patient records and documents; scheduling surgical procedures and tests;
obtaining pre-certification for health care services; verifying insurance coverage and patient demographics; managing and updating charts to ensure that information is complete.
Maintains orderliness and cleanliness of examination rooms; stocks assigned rooms and insures par levels of supplies are maintained.
Checks and completes required logs and equipment including refrigerator logs, eyewash logs, sample medications, AED, suction and other required checks.
Fulfills environmental responsibilities as assigned by department protocols including; cleaning exam / procedure rooms, maintaining infection control protocols;
keeping appropriate records; ordering, sorting, storing supplies and restocking exam / procedure rooms
- Assists providers with management of EPM and EHR.
- Fulfills organizational responsibilities as assigned including respecting / promoting patient rights; responding appropriately to emergencies;
communicates concerns / problems relating to patients and / or staff with immediate supervisor.
- Fulfills medical assistant responsibilities including medical / surgical asepsis, sterilization, instrument wrapping and autoclaving as well as, obtaining vital signs;
- physical examination preparations; assisting with procedures and examinations as required. Occupational Safety and Health Administration guidelines;
quality control methods. Assists in the collections and appropriate handling of laboratory specimens. Performs electrocardiography, and other office specific tasks as necessary.
May perform waived lab testing as allowed under limited lab permit when applicable.
- Accurately and thoroughly document medical visits and procedures as they are being performed by the physician, including but not limited to :
- Patient medical history and physical exam,
- Procedures and treatments performed by healthcare professionals, including nurses and physician assistants.
- Patient education and explanations of risks and benefits.
- Physician-dictated diagnoses, prescriptions and instructions for patient or family members for self-care and follow-up
- Prepare referral letters as directed by the physician
- Prepare referral letters as directed by the physician, via dictation or summary of the medical record. Ensure that letters are mailed or faxed on a daily basis to all physicians involved in a patient’s care, and with all copies of pertinent reports or tests attached.
Research contact information for referring physicians, coordinate referrals, prepare operative reports, make phone calls, and other clerical tasks as assigned.
Ensure that all clinical data, lab or other test results, the interpretation of the results by the physician are recorded accurately in the medical record.
Alert physician when chart is incomplete. Comply with specific standards that apply to the style of medical records and to the legal and ethical requirements for preparing medical documents and for keeping patient information confidential.
Collect, organize, and catalog data for physician quality reporting system and other quality improvement efforts and format for submission.
You will assist in developing and maintaining systems to track patient follow up and compliance.

Participates as a member of the patient care team and is responsible for participating in daily
huddles and regular scheduled practice team meetings
- Adheres to White Plains Hospital infection control standards including, but not limited to, hand hygiene, use of PPE, isolation of patient with known infectious disease, and equipment disinfection / sterilization.
- Completes annual mandatory requirements including Occupational Health Requirements.
- Attends mandatory in-services and attends staff meetings as required / requested.
- Adheres to all WPH policies and procedures including dress code, behavioral standards / code of conduct, customer service and attendance.
13. Performs all other related duties as assigned.
Education & Experience Requirements
- High school diploma or general equivalency diploma (GED) required.
- Successful completion of a six-month (6) to one (1) year course in Medical Assisting at an accredited school, required.
- Certified Medical Assistant (CMA) from the American Association of Medical Assistants (AAMA), preferred.
- As of July 15th, 2018 BLS certification (through American Heart Association) is required for all Medical Assistant
- Medical Assistants must have their BLS upon hire or obtain within 3 months of hire.
- Basic medical terminology, Electronic Scheduling and Electronic Medical Record experience preferred.
- Minimum one year of recent experience working in a medical facility as a medical assistant (preferred).

Physical / Mental Demands / Requirements & Work Environment
May be exposed to chemicals necessary to perform required tasks. Any hazardous chemicals the employee may be exposed to are listed in the hospital’s SDS (Safety Data Sheet) data base and may be accessed through the hospital’s Intranet site (Employee Tools / SDS Access).
