The Order Processing Specialist is a key position within our Supply Chain Management to ensure we provide the support and excellent customer service to our 800 field personnel & managers.

Purchasers will process part / product / machine orders and then purchase from multiple vendors for our 100 service centers in the U.S., Canada and Mexico.

REQUIREMENTS AND RESPONSIBILITIES

• Coding requisitions in preparation for processing order documents
• Generating purchase orders for specific vendors
• Generating pick tickets for The ICEE Company Parts Warehouse
• Transmitting purchase orders to vendors; forwarding pick tickets to the Corporate Parts Warehouse. Includes entering PO numbers and line items on several suppliers’ websites
• Ensuring that emergency orders are submitted in a timely manner and before cut-offs.
• Entering PO and pick ticket information into intra-company programs
• Responding to inquiries about existing orders; occasional expediting tasks
• Fill in for Order Tracker, including status and shipment tracking
• Filing (maintain / update e-files)
• Contacting vendors for parts information and pricing
• As machine and parts knowledge is gained, tasks will include responses to part number inquiries, both via phone and via e-mail
• Miscellaneous order-related data entry, as assigned
• Other tasks may be cross-trained and assigned.

COMPETENCIES

To perform this job successfully, the Order Processing Specialist must be comfortable working with ICEE's in-house Customer Service department system and JD Edwards.

• Ability to learn new programs and maneuver in them throughout the day
• Must be organized
• Quick learner with prior basic purchasing skills in previous positions
• Excellent oral, written, and problem-solving communication skills
• Knowledge of JD Edwards
• Knowledge of Microsoft Based Systems to include but not limited to Word, Excel, and Outlook
• Demonstrated ability to make quick and accurate decisions when dealing with Customers
• Strong interpersonal skills in order to effectively communicate with Customers, Vendors, Employees, and Upper Management
• The capacity to work under pressure and the adaptability to work in an ever-changing environment

MINIMUM REQUIREMENTS

• High school diploma or equivalent
• Previous expediting or order tracking experience preferably supporting multiple Service Centers
• Capability to type 35 WPM, and the ability to type for up to 90% of a workday
• Background in Beverage or Manufacturing industry is a plus
