Front Desk Receptionist
Midtown Manhattan $35 - $40 per hour Temporary for 3-6 months to Permanent
We are partnered with a visionary interior design firm based in Midtown Manhattan, who are recruiting for an accomplished Receptionist to be the face of their renowned world-class brand.
DUTIES & RESPONSIBILITIES
- First point of contact for clients, vendors, delivery personnel and employees, and represents the company in line with brand standards to deliver world-class service.
- Serves as the gatekeeper, both in person and on the phone, for the organization.
Answers telephones : screens calls, forwards calls and / or records and forwards messages accurately.
- Communicates all new business inquiries that come through front-of-house channels to appropriate team members and follows-up as necessary to ensure that all inquiries are addressed.
- Receives, sorts and distributes mail within the office in a timely manner, including coordination of messengers and shipping (e.g. FedEx, UPS, etc.)
Manages and coordinates the conference room calendars to ensure no double-booking and smooth transitions from meeting to meeting.
Prior to meetings in conference rooms :
Ensures all rooms are clean.
Ensures presentation technology is set-up and working appropriately (Zoom, Teams, etc.)
Orders catering as required.
Post meetings in conference rooms :
Ensures room is clean (removes trash & food and wipes down surfaces as required).
Follows-up with teams / studios to remove all materials as required.
Ensures technology is reset and ready to use for next meeting.
- Maintains reception and kitchen areas to be presentable at all times, including removal of trash, wiping down of surfaces, etc.
- Organizes and cleans supplies and package room.
Assists Office Manager with organizing travel for all staff as required.
Proactively ensures company collateral (business cards, stationary, etc.) is available for all guests and staff.
Maintains various company documents (staff contact list, company passwords, inventory, etc.).
Types forms, form letters and other documents as necessary.
Collates, scans and photocopies materials as required.
Assists in the organization of company events (happy hours, holiday parties, etc.) in conjunction with other team members.
Assists in the organization of vendor 'lunch & learn' presentations for the team in conjunction with Librarian.
100% timely and accurate input of personal timesheets.
100% timely and accurate input of personal reimbursable expenses (personal & project).
SKILLS & QUALIFICATIONS
- Highly presentable, intelligent, confident and discreet with an outgoing, upbeat and confident demeanour.
- Possesses excellent time management skills and is able to handle multiple project deadlines and make decisions in a fast-paced environment.
- Proactive self-starter who is goal and detail-oriented with exceptional communication skills (both written and verbal).
- Proficient in the use Microsoft Office programs.
- At least 2-5 years of demonstrated work experience in a similar field. Creative background a plus.
