Great opportunity for a full-time ADMINISTRATIVE SPECIALIST in Issaquah, WA . This position is a key administrative role within the company supporting the critical admin functions for the leadership and staff in the assigned locations, primarily the Issaquah office and Executive Committee member, but also providing assistance to Senior Scientists in Boise and Portland.

The role helps to support day-to-day, weekly, and monthly admin tasks and responsibilities in coordination with the corporate admin team in Portland, OR.

The position supports CFS's facility needs, key personnel time and expense entries, basic HR and IT assistance in the assigned facility, data and information storage needs, equipment, vehicle, and boat maintenance and support, and any other admin duties as assigned.

The Administrative Specialist position is also part of the CFS admin team providing specialized admin services to all employees and clients as assigned.

ESSENTIAL DUTIES & RESPONSIBILITIES :

  • Admin support for assigned executives including time sheets, expenses, note taking, and all other tasks as assigned by the EC member.
  • Time Sheet and expense support for assigned executives and various others at the assigned location. This will help free up executives and ensure accurate entry of expenses and time resulting in better accuracy, more real-time project reporting, and quicker turnaround for reconciliations and invoicing.
  • Supply purchases through amazon for assigned locations. Order essential supplies, snacks, facility needs, and new hire welcome package needs.

Maintain inventory of items.

  • Coordinate and manage facility specific tasks to ensure well maintained facilities for assigned locations. (Lightbulb replacement, Cleaning, HVAC servicing, etc....)
  • Agenda and note taking for key meetings as needed.
  • Keeper of call-in numbers for MS Teams conference calls and schedule as necessary for team in assigned locations.
  • Update project budget boards, project management, etc. through applicable project management tools and help staff to stay organized as needed.
  • Safety Committee member for assigned locations.
  • Support executives and various other leaders at the assigned locations with project travel itineraries.
  • Attend regular Admin team meetings to ensure clear communication between locations.
  • Assist with HR Onboarding and offboarding for local new hires and support HR recruiting tasks at assigned locations.
  • Organize trainings, certifications, recertifications and brown bag meetings.
  • Coordinate and maintain email distribution lists for assigned locations.
  • IT helpdesk support and IT setup for assigned locations. Complete the IT hardware, software, and setup requests as necessary.
  • Answer phone calls as member of main number operator queue.
  • Hands on support of facilities, equipment, and vehicles. This includes DMV registrations, shuttling of vehicles and boats, maintenance of buildings and equipment, travel logs, etc.
  • Maintain accurate, complete, and legible files.
  • Mail and package pickup at assigned locations.

EDUCATION / MINIMUM QUALIFICATIONS

A 2-year degree required; BS / BA preferred. Experience in administrative support, basic HR support, understanding of IT and business writing.

COMPENSATION : $22 / hr - $28 / hr (depending upon experience). 401 (k) has a 3% match and full vesting after one year. The annual cash bonus has a 3% target.

ESOP : CFS is a 100% employee-owned company. Our employee stock option plan (ESOP) is a qualified defined contribution plan.
