Job Description :
We are seeking a detail-oriented and organized Accounts Payable Specialist to join our finance team. The ideal candidate will be responsible for managing vendor relationships, processing invoices, and maintaining accurate financial records.
This role requires a strong understanding of accounts payable and receivable processes, as well as the ability to handle petty cash and support various accounting tasks.
Key Responsibilities :
Accounts Payable :
- Set up and maintain vendor files to ensure accurate and up-to-date information.
- Process invoices for payments and maintain purchase order files.
- Mail checks and file all related paperwork efficiently.
- Request and maintain Certificate of Liability forms, W-9 forms, and Hold Harmless Agreements from vendors and service providers.
- Enter document information into the vendor log and keep current forms organized in a binder.
- Process resale certificates, complete credit applications, and supply potential vendors with necessary information.
- Maintain and update company credit information with vendors.
Accounts Receivable :
- Oversee guest charges from various departments to ensure accuracy.
- Prepare and send guest statements via email and / or mail upon request.
- Audit guest bills when questions arise to resolve discrepancies.
Support Tasks :
- Assist in creating and organizing Accounting / Admin binders.
- Help maintain and organize accounting storage boxes and cycle boxes in the storage unit.
- Assist in processing and mailing year-end tax forms, including W-2, 1099, and 1096.
Qualifications :
- Proven experience in accounts payable and receivable.
- Strong organizational skills and attention to detail.
- Proficient in accounting software and Microsoft Office Suite.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
