Administrative Assistant
Salary : $50,000 - $52,000 dependent on experience
The Senior Administrative Assistant will play a crucial role in ensuring smooth operations and facilitating effective communication across various levels of the organization.
Qualifications of the Senior Administrative Assistant :
- 3+ years of experience in an administrative or office management role
- Strong attention to detail
- Experience with Microsoft Office Suite, Excel, Calendly, and other platforms
- Sense of urgency in work
Responsibilities of Senior Administrative Assistant :
Executive Support : Provide high-level administrative support to executives, including managing calendars, scheduling meetings, arranging travel, and handling correspondence.
Office Management : Oversee day-to-day office operations, including maintaining supplies, equipment, and facilities. Coordinate with vendors and service providers as needed.
Document Management : Organize and maintain physical and electronic files, ensuring accuracy, confidentiality, and accessibility.
Prepare and edit documents, reports, and presentations as required.
Communication : Serve as a primary point of contact for internal and external stakeholders. Screen and direct phone calls, emails, and other inquiries appropriately.
Facilitate effective communication within the team and across departments.
Meeting Coordination : Plan, coordinate, and support meetings, conferences, and events. Prepare agendas, gather materials, and ensure all logistical arrangements are in place.
Take minutes and follow up on action items as necessary.
Project Assistance : Assist with special projects, initiatives, and research assignments as assigned. Collaborate with team members to ensure timely completion of tasks and deliverables.
Data Management : Maintain databases and spreadsheets with accurate and up-to-date information. Generate reports and analyze data as required to support decision-making processes.
Administrative Support : Provide general administrative support to team members, including drafting correspondence, scheduling appointments, and handling expense reports.
Problem Solving : Proactively identify and address potential issues or challenges. Offer creative solutions and implement improvements to enhance efficiency and productivity.
