Description

Primary Function : Under the direction of the Principal the Athletic Director is responsible for performing a variety of duties that pertain to leading the athletic program at St.

Pius X-St. Matthias Academy

Essential Duties and Responsibilities :

Administrative

1. Collaborate with all stakeholders to develop and execute an Athletic growth plan aligned with the schools strategic plan.

2. Manages all athletic event planning and operation.

3. Disseminates and implements compliance with all applicable CIF., CAA, League and NCAA policies, procedures and regulations in the athletic, admissions, academic, and other school programming.

4. Ensures that all participants, coaches and parents abide by the rules and regulations of the California Interscholastic Federation (CIF).

Also, provides entry notification to CIF and contracts for all games.

5. In collaboration with each head coach, develops the budget for all athletic programming.

6. Manage Athletic income and expenses.

7. Coordinate athletic fund raising activities

8. Designs proposed master schedules for all sports with input from the head coaches and submits these to the principal for approval.

9. Coordinates team scheduling, manages game contracts, and transportation to away events.

10. Supervises all coaches, which includes evaluating the performance of coaches, aiding with media relations, photo sessions, sports introduction night and sports banquets.

11. Sets the agenda and presides at all regularly scheduled all coach and individual coach meetings.

12. Ensures all coaches meet necessary VIRTUS, PLAC and other pertinent training prior to hiring.

13. Acts as representative for St. Pius X-St. Matthias Academy to the CIF, league and associations.

14. Ensures that athletes have undergone the required medical clearance before engaging in practice.

15. Maintains a log of all athletic injuries and oversees the filing of appropriate insurance forms.

16. Obtains, organizes, and stores required parental consent forms.

17. Prepares and disseminates accurate team rosters and accurate team departure times.

18. Seeks approval for athletes required to leave campus for a competition at required time.

19. Assists in the annual revision of the faculty and student handbooks.

20. In-services all coaches on these policies and regulations with a view to ensuring their implementation in the school’s athletic programs.

21. Arranges for the employment, payment and facilities for officials.

22. Coordinates the work of the support staff and volunteers in the athletic program.

23. Attends and supervises all home athletic contests and all away contests when a sizable crowd is expected.

24. Ensures students and coaches adhere to academic policies of the school.

25. Coordinates placement of security personnel, hired and volunteers, as necessary.

26. In close collaboration with each coach, form a PMA Sports Booster club / committee whose principal responsibility will be the coordination of fundraising for the sports department.

Serves as the school liaison with the Booster Club and maintains administrative presence at booster club meetings

In close collaboration with each coach and the athletic booster club, coordinate athletic banquets and awards

Coordinates all gate and concession money reconciliation.

27. Serves as a member of the Leadership Team.

28. Provide regular reports to the school board and committees and, when applicable, serve on the school’s Consultative Board / Council at the request of the Principal.

29. Chairs the Athletic Advisory Council

30. Make a report to the Principal in writing of any incidents of concern.

31. All other duties as assigned by the Principal, or President

Advancement & Outreach

1. Works with the Advancement Office to encourage and coordinate media coverage of the school teams and athletes and to coordinate athletic fund raising activities in cooperation with school- wide development efforts.

2. Supervises the design and publication of sports and poster team schedules, athletic handbooks / manuals, tournament brackets, and printed directions to games

3. Responsible for the production of the printed athletic programs.

4. Assist with outreach to potential new students and feeder schools

5. Disseminates athletic news to the Marketing Director in a timely fashion.

6. In collaboration with the Marketing department, ensures current information on Athletic section of school website.

7. Promotes athletic programs among students body for maximum participation.

Facilities and Equipment

1. Takes part in the hiring process of teachers who will coach. Recruits and hires community coaches.

2. Maintains appropriate memberships in state and local associations; attends league and association meetings.

3. Oversees the locker room facilities, weight room, gymnasium, and athletic fields, seeking maintenance through facilities personnel.

4. Works with the Facilities personnel to make sure that athletic facilities, both indoor and field areas, are clean, safe, and well-maintained.

5. Working with the school’s gym coordinator and Facilities personnel, schedule all on-site facilities for use by athletic program.

6. Arranges for the renting of playing fields and courts as necessary.

7. In close collaboration with each coach, ensure the SOP for each venue is followed.

8. Schedule all off-site facilities for use by athletic program.

9. Provides for the assignment, upkeep, and maintenance of the gym lockers.

10. Maintains a current inventory of all equipment.

11. Maintain, oversee, and order all athletic equipment and uniforms.

Summer Program

1. Prepare a summer practice schedule for all sports taking into account gym space, field time, the needs of incoming freshman and sports conflicts for boys and girls sports

2. Prepares appropriate information and forms for the summer school brochure and for parent newsletters.

3. Assists the Assistant Principal of Operations with the registration of students into summer sports classes and with the generation of roll sheets.

4. Defines curriculum content for all summer sports classes and oversees implementation during summer session.

5. Oversees use of all equipment and uniforms during the summer session.

6. Collects and keeps on file all necessary physical forms and permission slips for athletes involved in summer session.

7. Oversees the locker room facilities, weight room, gymnasium and athletic field Monday-Friday and during summer school, seeking routine maintenance through the maintenance crew.

8. Assists the Principal in determining and executing summer capital improvements on sports facilities and athletic fields.

Obtains bids and contracts work as directed.

9. Obtains proper purchase orders and orders all medical supplies for the upcoming year.

10. Obtains proper purchase orders and orders all equipment, supplies and uniforms for Fall and Winter sports.

11. Submits upcoming schedules to appropriate referee assignors for all Fall and Winter sports.

Physical / Mental Requirements : Requires coordination and manual dexterity, normal mental and visual ability; ability to carry, at least 45 pounds.

While performing the duties of this job, the employee is required to walk, sit, stop, talk, and stand.

Work Environment : While performing the duties of this job, the employee will continuously work inside or outside depending on the sporting event.

Occasionally the employee must be able to meet deadlines with severe time constraints and interact with public and other workers.

The employee has direct responsibility for the safety, well-being and work output of others.

Requirements

Qualifications, Skills, Experience, Profile :

1. BA or BS degree in Education, administration, or management

2. High School Coaching experience

3. At least 2 years experience in a management position; Strong record of leadership and management of personnel and school / sports related programs.

4. Strong commitment to the mission of the Catholic Church.

5. Excellent communications skills, verbal and written.

6. Excellent human relations and interpersonal skills with all stakeholders.

7. Strong initiative, organizational & time management skills.

8. Ability to work collaboratively in a team environment.

9. Punctuality, and ability to travel as required; weekend availability is required.

10. Proficiency in relevant software applications needed to perform job functions.

The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range.
