Fit Recruiting is seeking a Service Advisor Assistant to provide administrative and customer service support, ensuring a smooth experience in the service department for customers at a local car dealership. This role helps coordinate service appointments, communication between customers and technicians, and overall workflow in the service department, delivering top-tier customer satisfaction. This position offers a salary in the $40K-$45K range, depending on experience.

Key Responsibilities

  • Greet service customers in a friendly, professional manner when they arrive in the service reception area.
  • Assist in scheduling service appointments via phone, online, or in person.
  • Answer incoming calls regarding service inquiries and help direct them appropriately.
  • Maintain the service appointment calendar and communicate updates to the Service Advisor.
  • Prepare and organize work orders, customer files, and inspection documents.
  • Ensure customers are kept informed of vehicle status, estimated repair times, and any changes.
  • Facilitate communication between customers and technicians : deliver customer concerns to technicians and return technician feedback to customers.
  • Process customer check-in : collect vehicle info, verify contact information, explain service process, and record any customer complaints or concerns.
  • Assist with customer check-out : explain work done, verify satisfaction, schedule follow-up if needed, collect payment or ensure Service Advisor handles payment.
  • Maintain waiting area : ensure cleanliness, refreshments, reading materials are stocked, and customers are comfortable while waiting.
  • Coordinate with parts department, techs, and service team to expedite workflow.
  • Handle basic administrative tasks : data entry, filing, invoicing support, tracking warranty\ / recall work as instructed.

Qualifications

  • High school diploma or equivalent required; some college preferred.
  • Previous experience in customer service, preferably in an automotive or dealership service environment is a plus.
  • Strong communication skills \u2014 both verbal and written.
  • Excellent organizational skills, attention to detail, ability to multitask and work in a dynamic environment.
  • Comfortable with computers and ability to learn dealership service software, CRM systems, and standard Microsoft Office suite.
  • Customer\u2010focused attitude with the ability to handle challenging situations calmly and professionally.
  • Valid driver\u2019s license and clean driving record (if required to move vehicles).
  • Ability to remain on feet for extended periods, and mobility to walk service bays when necessary.
  • Flexible availability : service departments often have early start times and may require Saturday hours. (Will work at least \u00bd day on Saturday a month, maybe more to start.)
