Job Description

This position will be responsible for supporting our sales, marketing and customer success teams. The Strategic Support Assistant will be a key player in ensuring the smooth day-to-day functioning of our startup.

This role involves a mix of administrative tasks, process management, and support for various operational functions.

The ideal candidate will be detail-oriented, adaptable, have sales or relationship management, experience in financial services or wealthtech / fintech, with a proactive attitude and a willingness to learn and adapt.

About the role

  • Provide administrative and sales enablement support to Willow’s CEO including managing sales pipeline, coordinating meetings, and handling correspondence.
  • Assist sales and marketing with project coordination, tracking progress and success metrics, and managing deliverables.
  • Assist customer success with client product questions, renewals, and platform issues, relaying feedback to appropriate teams and identifying opportunities to improve Willow’s products and services.
  • Maintain HubSpot Sales and Marketing tools, including deals, workflows, tasks, emails and automation.
  • Identifying areas of improvement in internal processes and implementing solutions to increase operational efficiency.
  • Generate and analyze reports within HubSpot to track performance, monitor key metrics, and provide actionable insights.
  • Conduct research to identify and generate high-quality lead lists, leveraging various tools and databases to ensure accuracy and relevance for targeted outreach and sales efforts.
  • Rectify sales and other records and reporting.
  • Assist in coordinating webinars / seminars including presentation materials, invitations, attendees lists.
  • Handle correspondence, prepare documents, and assist with internal communications.
  • Maintain organized records and files throughout various databases.
  • Regularly review and clean-up records to ensure accuracy.
  • Communicate with clients by phone, email, video or chat.
  • Draft communications, webinars, and other materials for distribution.
  • Collaborate cross-functionally with internal Willow teams (sales, marketing, product, development).
  • Assist with various ad hoc tasks and projects as required by the team or leadership.
  • Adapt to changing priorities and handle multiple tasks in a fast-paced startup environment.
  • Reports directly to the CEO.

About you

  • You are highly detail-oriented with 1-3 years in an administration, sales support, relationship management role within a financial services / fintech / wealthtech client service role
  • You understand the financial advisor-client dynamic and how those relationships operate
  • You are a self-learner and self-starter who can thrive in a fast-paced environment
  • You have strong time management and prioritization skills, as well as verbal and written communication skills
  • You have excellent interpersonal skills with high initiative, flexibility, and team approach to work
  • You can deliver quality service to multiple stakeholders concurrently
  • You enjoy finding ways to improve processes and increase efficiency
  • You are proficient in Google Workplace Suite, Canva, and HubSpot

Additional Details :

  • This role is remote but Willow is located in the Greater Boston area
  • We communicate frequently on Slack and expect you to be engaged with our team. You will work independently and collaboratively with others
  • Compensation for this role is salary + equity
