Job Brief :
Reporting directly to the president, the executive coordinator will provide high-level administrative support to the president and other executives.
The executive coordinator also serves as a liaison to shareholders and senior management teams, organizing and coordinating executive outreach.
Additionally, this position handles external relations efforts and oversees special projects. The executive coordinator must be creative, intuitive, self-motivated, and enjoy working within an entrepreneurial environment.
The ideal candidate :
The ideal candidate will have the ability to exercise good judgment in a variety of situations. They will demonstrate strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Role Objective :
Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
Key Responsibilities :
- Act as liaison between president and shareholders / principals
- Schedule, organize, and attend firm-wide events
- Manage schedule for president, coordinate travel arrangements, and prepare expense reports
- Manage, maintain, and communicate firm reporting and tracking on behalf of the president
- Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the global operations of the company
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff
- Represent the company and the president and executive team in a positive light through great follow-through skills and sound judgment
- Conserve the president and executive team's time by reading, researching, collecting, and analyzing information in advance, as needed
Skills and Qualifications :
- Associate's degree (A.A.) or equivalent from a two-year college or technical school, or equivalent combination of education and experience
- 5+ years of related experience preferred in working in an executive assistant role supporting C-Level preferred
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Effective and professional communication skills
- Flexible, as hours may occasionally change based on the needs of the business or president
- Demonstrate discretion, confidentiality, and good judgment when handling firm and C-Level matters
- Function well in a high-paced environment; performs additional duties as assigned by executives
- Able to decipher priorities and make sound judgment calls when needed
- Commitment to excellence; performs duties at the highest level possible on a consistent basis
- Able to collaborate and work with different teams / departments
- Dedication towards meeting the expectations of the president and other senior executives by maintaining effective relationships with interested parties
- Capable of thinking outside of the box and providing creative solutions, while maintaining a sense of urgency
