Summary : Your duties will include, but may not be limited to :
keeping accurate medical records, clerical work, client education, promotion of hospital products and services, and direct support of the hospital administrators and other team members.
This requires a practical knowledge of Art City Vets procedures; policies and services; client and patient treatment protocols;
data transcribing; word processing; and the standard procedures, records, and terminology used in the veterinary hospital.
Responsibilities : The responsibilities of the Client Service Administrative Specialist include, but are not limited to the following activities :
- Maintaining and supporting a positive client experience.
- Follow established hospital policies and procedures when interacting with clients.
- Maintain a clean workspace by helping with the taking out of trash, vacuum / sweep, and sanitizing surfaces.
- Assist the front desk with scheduling appointments and routine procedures, as needed. Provide clients with pre-appointment recommendations such as feeding schedule the day of procedure, appropriate drop off time, expected go home time (if known), etc.
- Answer business and personal calls in a friendly and professional manner.
- Route calls to the proper team members and / or take detailed messages for management, doctors, and staff when they are unavailable.
- Check the voicemail throughout the day and address all requests with-in 24-48 hours; prioritizing requests that are time sensitive.
- Answer inquiries about services and / or products and provide knowledgeable advice concerning care and treatment of animals.
- Assist with training new CSRs and Administrative Specialists when requested by management.
- Help maintain relationships with area rDVM’s by recording which client / patients are regulars at
other practices and making sure records get sent to these practices after visits.
- Managing and recording communications between departments on a variety of platforms.
- Hospital Audits such as sympathy card logs, cremains, paw prints, medication, records, client /
patient data, etc.
- Preparing admit forms, invoices, and estimates as needed and sending them to clients when asked by doctors and / or management.
- Update patient and client records as necessary.
- Support the Front desk as needed in times of high call-volume.
- Work well with all team members and ensure that actions support the hospital, the doctors, and the practice philosophy.
- Attend regular department meetings.
- Check ACV email on a regular basis to ensure timely communication with management and staff.
