Who you are :
- High school graduate required. Bachelor Degree highly preferred.
- 1-3 years of general office management experience and / or supervisory experience highly preferred.
- Experience with technology such as computers, tablets, iPhone, cable, and more strongly preferred.
- Excellent verbal and written English skills required.
- Must be proficient with computer, MS-Word, Outlook, Excel, and other office equipment.
- Must be friendly, helpful, and outgoing and possess a strong desire to work with senior adults.
- Must have excellent organizational skills, take initiative, and be an independent thinker.
- Must be able to handle a multiplicity of routine tasks, following specific instructions carefully and general instructions completely.
- Must always maintain resident confidentiality.
General Summary :
The Director Administrative Services is responsible for executive support to the Executive Director and Associate Executive Director.
This position will supervise the concierge staff and will take the lead in the overall function of the Business Office including meeting and greeting residents, employees, and visitors.
This role may also provide general support to Accounting and Human Resources as available.
Essential Job Duties :
1. Provides direct administrative support to the Executive Director and Associate Executive Director regularly to include calendar management, travel arrangements, resident communications, and more.
2. Responsible for managing, supporting, and scheduling Sagewood Concierge team to include hiring, training, developing, performance evaluations, and separations.
3. Responsible for managing and supporting Administrative Assistant who meets, greets, and screens Business Office visitors, routing them to the appropriate department.
4. Responsible for the oversight of IT support at the community to include managing in-house IT Technician.
5. Maintains relationship with local IT vendor, communicating on behalf of the community regarding ongoing projects or future needs.
6. Routinely drafts and distributes written resident communications on behalf of the Executive Director and Associate Executive Director to include memos, OneCall messages, presentations, letters, policies, emails, satisfaction surveys, monthly fee notices, tax credit letters, etc.
7. Maintains and is responsible for office inventory and supplies such as leased copy machines and postal equipment for the Business Office.
8. Oversees visitor Guest Suite reservations through Sagewood Concierge ensuring accurate bookings, timely check ins / check outs, and charge backs to resident accounts.
9. Compiles and maintains master lists and resident files such as phone lists, resident away list, emergency contacts, and more.
10. Maintains copies of contracts and required licenses and insurance verifications ensuring they meet community standards.
11. Serves as Notary Public for the community.
12. Attends meetings as required, takes and type’s minutes, and routes as appropriate.
13. Sorts and routes incoming mail and other communications for the Business Office staff.
