Upward Bounds Behavioral Health Center is an addiction recovery center servicing adults facing the challenges of substance and mental health abuse.
We are currently seeking an Administrative Assistant to join our team. This individual will be the first point of contact greeting clients and visitors.
In addition to, handling the new client intake process. Thus, they will need to be people-oriented, punctual, effective communicator, and exude professionalism at all times.
Duties
Answer phones, check voicemails and respond to emails promptly.
Main point of contact for external servicers (i.e., Nursing, Psyche, Therapy and PRP services).
Assist in daily office needs, to include but not limited to :
Typing correspondence, filing, appointment scheduling, sorting departmental mail and tracking office supply inventory monthly
Creating client handbooks
Assisting with completion of clients admission application
Upholds our filing system and record keeping process
Pre-screen clients information via phone to complete admissions application form.
Consult one-on-one with new clients, gathering and documenting applicable data relating to their addiction.
Communicate via email and / or phone with insurance companies and other referral sources.
Authenticate and handle insurance verification and prior authorizations.
Consistently move intake process forward by promptly completing essential documents and advancing charts to a counselor.
Log clients demographics in database and notate receiving counselor.
Prepare and administer welcome bags for new clients.
Track welcome bag distributions, ensuring all supplies were dispensed and acknowledged per new client.
Manage new client packets, including applications for financial, food and identification assistance.
Prioritize workflow to ensure timely and accurate completion of assigned tasks.
Assist with outreach to local Baltimore city communities regarding our program (via phone, email, social media, and some in-person site visits).
Handle brochures, flyers, business cards maintenance and distribution for Upward Bounds.
Complete additional duties as assigned by CEO, HR and / or Lead Counselor.
Requirements
High School diploma
Strong written and verbal skills, in person and via phone
Punctual
Detail-oriented
Collaborative; team player
Experience in prior authorization and eligibility verification procedures preferred
Willingness to learn new technology
Experience in health care customer services preferred
Maintain highest standards of professionalism and integrity
Prefer candidate to have personal experience dealing with individuals with substance use and mental health challenges
