The Payroll Assistant is responsible for monitoring and enforcing time and attendance policies within the organization. This role involves overseeing the accurate recording of employee work hours, investigating discrepancies, and implementing corrective measures to ensure compliance with company policies and applicable labor laws.
As a Payroll Assistant you will provide premier services to PMI clients, subcontractors, suppliers while supporting all facilities related activities.
This is an onsite position; we do not offer remote.
Responsibilities :
- Utilize QuickBooks timekeeping software to monitor employee clock-ins, clock-outs, breaks and overtime.
- Review and verify daily timesheets to work orders for discrepancies and ensuring accuracy.
- Enter Prevailing Wage codes, counties and assist with reporting.
- Communicate with Operations department and employees on discrepancies.
- Responsible for approving all timecards on weekly basis.
- Manage all employee access to timekeeping system.
- Reconcile and process employee timecards for payroll.
- General duties include ensuring facilities and administrative tasks are completed and acting as point of contact for facility related issues.
- Greeting people (clients, employees, subcontractors / suppliers) as they come into the office.
- Process daily incoming / outgoing mail and packages.
- Manages office supplies orders and distribution.
- Responsible for coordinating company related functions like employee's birthdays, potlucks and holiday celebrations.
- Ability to handle sensitive situations and confidential information with discretion.
- Perform additional assignments per supervisor's direction.
Qualifications :
- High School Diploma or equivalent
- QuickBooks time keeping experience a plus
- 3+ years Certified Payroll experience
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, SharePoint, etc.)
- 3+ years' experience in time and attendance management.
- Knowledge of relevant labor laws and regulations a plus.
- Strong analytical and problem-solving skills
- Ability to collaborate and work effectively across functions, departments, teams while building trusted relationships and positively influencing others.
- Excellent communication and interpersonal skills.
