We have a weekday Monday / Wed 8am-5pm, T / TH 8am-7pm opening at our CARE Clinic . The role of a Front Office Specialist requires a High School diploma or equivalent with receptionist experience with multi-line phone system, accurate typing at 50 wpm, basic compute knowledge, medial front office experience and bilingual in Spanish and English preferred .
- Under the immediate supervision of the Program Director / Supervisor, the Office Specialist performs routine clerical duties related to the general office functions of the agency, responds to inquiries from clients, students, patients and the public about specific agency / program information and services;
- directs inquiries as necessary; explains or clarifies rules, processes, and procedures to clientele; provides information about services available;
receives incoming calls and routes to appropriate staff.
The starting hourly rate for the Front Office Specialist is $18.00 an hour.

- Excellent verbal and written communication skills.
- proficient in Microsoft Office or related software.

- Strong customer service skills to interact positively with patients.
- Understanding the importance of confidentiality.
- Detailed oriented, able to handle multiple priorities, strong ability to spell accurately and able to compose letters and other correspondence in a professional manner.
- Ability to support and promote a service environment for individuals in need of behavioral health and / or co-occurring services that is recovery focused.
- Demonstrates commitment to support and maintain a positive work environment and interact professionally with all staff within the agency and in the community.
- Ability to work well under pressure meeting deadlines with efficiency and consistency while maintaining a balance between good physical and mental health and the job requirements.
- Ability to communicate clearly to interact with staff, clients, administration, and the community both in person and on the telephone.
Example of Position Responsibilities :
- Answer phones and forward calls as appropriate. Answer general questions regarding agency services.
- Supports and promotes a service environment for individuals in need of behavioral health and / or co-occurring services that is recovery focused, welcoming, and attentive to the needs of the individuals who may have experienced trauma in their lives.
- Learn and embrace Sanctuary principles / concepts leading to certification in the Sanctuary model.
- Complete all required data processing and paperwork in a timely manner to meet reporting standards.
- Greet all clients and visitors; notify the appropriate persons of their arrival.
- Ability to maintain strictest confidentiality guidelines for interactions regarding client information.
- Responsible for stocking, organization, and inventory of office supplies.
- Keep waiting room and office area as welcoming and respectful as possible.
Other Duties : Perform other duties as assigned by Supervisor.
Physical Requirements : Must be able to move from location to location, bending, stooping, lifting 25 pounds, communicate clearly, prepare written communications, present information to other employees, process complex information within established procedures / programs, enter data to various programs.
Must be able to climb stairs and access non-handicapped equipped residences / facilities.
