Come join our team as the Executive Assistant to our Chief Technology Officer. As the Executive Assistant to our Chief Technology Officer you will critical administrative support to the CTO, proactively anticipate needs and act as a strategic and reliable partner in a fast-moving, technology driven environment.

Candidates must be able to reliably travel to St. Petersburg, FL regularly.

Primary Functions :

Inbox and Calendar Management : Manage and prioritize executive's email inbox and calendar,

ensuring efficient scheduling and coordination of meetings, appointments, and travel

arrangements.

Task Management : Participate in technology meetings, assist with note taking and follow up

activities. Review reports and assist with escalations. Track, prioritize, and follow action items,

ensuring deadlines are met and commitments are honored.

Communications : Draft and edit correspondence, emails, presentations, social media, and

other documents as needed. Serve as a liaison between executive and internal / external

stakeholders. Assist with outreach via digital channels.

Expense Reports : Prepare and submit accurate and timely expense reports, ensuring adherence

to company policies.

Research and Projects : Conduct research on various topics as assigned, compile findings, and

present summaries to support decision-making processes. Handle project-based tasks from

inception to completion with minimal supervision.

  • Sales Support : Attend sales meetings, assist with follow-up activities and outreach campaigns.
  • Other duties as assigned

Secondary Functions :

  • Make every effort to autonomously handle situations within your outlined scope of work.
  • Maintain thorough and organized filing systems for all relevant documentation and

correspondence in executive's office.

Act as a "gatekeeper" and exercise judgement in prioritizing time sensitive matters and identify

the appropriate method of communication and level of urgency.

Prioritize staying abreast of topics, meetings, and tasks in the executive's orbit and maintain

thorough task lists and updates with urgency levels, next steps and instructions at all times.

  • Ask questions when uncertain to ensure proper task completion.
  • Exercise discretion, proper judgement and confidentiality at all times.
  • Adopt and practice a commitment to social, economic, environmental, and racial justice.
  • Demonstrate interest in contributing to and working by Climate First Bank's Core Values.
  • Possess the initiative to obtain education related to sustainability practices. Commit to the

Sustainability Pledge.

Demonstrate an understanding of and follow established Bank policies, procedures, and

regulations, cognizant of transactions, inquiries that appear suspicious, obtaining reasonable and

verifiable explanations, notifying the Compliance Officer when necessary; completion of all webbased compliance training;

resolution of all issues concerning BSA report reviews of suspicious

activity and or cash transactions.

Specific Requirements :

  • Bachelor's Degree in a business-related field preferred.
  • Proven and extensive experience supporting one or more C-Suite level executives in a fast-paced

organization.

Expert level proficiency in Microsoft Office 365 including Excel, Microsoft Word, Power Point, and

Teams.

  • Technically savvy; an interest in technology and banking are preferred.
  • Impeccable verbal and written communication skills.
  • Strong interpersonal skills, ability to thrive under pressure, time management skills and detail oriented mindset.

  • Proven resourceful and an extremely organized self-starter.
  • Solid ability to anticipate needs.
  • Superior ability to exercise judgement, sense of urgency and discretion with regard to escalating

relevant information and managing Bank President availability and needs.

Ability to pivot and adapt quickly and change gears at a moment's notice.

Physical Demands : In the performance of respective tasks and duties, all Climate First Bank employees are expected to successfully perform the essential functions of the position.

While performing duties, employees are required to sit, talk, hear, lift up to 20 lbs., and may be required to work evenings and / or weekends, attend remote meetings and / or to travel.
