Job Details :

This position will provide high level, professional support for the Associate Dean for Academic and Faculty Affairs and will assist with a large volume of highly complex administrative matters with a university-wide scope.

This position will be required to be On-Site.

Responsibilities

Coordinate with the College’s Finance, HR, Graduate Studies, Research Affairs, and Academic Affairs teams to facilitate the annual Soft Money Budget allocation process and the related special funding request (SFR) process;

includes implementing the new Graduate Cohort Funding model, facilitating summer course management, TA allocations, and budget processes.

Lead multiple aspects of administering faculty leave or award processes for various programs such as FDLs, FDAs, RIAs, and CSEFs.

Provide high-level professional support for duties falling under the portfolio of the Associate Dean for Academic and Faculty Affairs.

Provide support to staff colleagues under the leadership of the Associate Dean for Academic and Faculty Affairs.

As required in the course of assigned responsibilities, represent the Dean’s Office by providing clear and effective communication to College of Liberal Arts chairs, directors, faculty, and staff, the Provost’s Office, the President’s Office, and other colleges.

Maintain and create content published on the COLA Academic Affairs' Wiki.

  • Support the Associate Dean as the senior staff contact, providing administrative support, guidance, and expertise, as needed, for a variety of COLA Academic Affairs committees, currently including, but not necessarily limited to : Curriculum Design and Assessment Committee (CDA), College of Liberal Arts International Study Advisory Committee (CLAISAC), FDA Review Committee, FDL Review Committee, Language Policy Advisory Committee (LPAC), Professional Faculty Advisory Committee (PFAC), and Teaching Awards Review Committee.
  • In partnership with the Associate Dean and other Dean’s Office units, working alone or collaboratively, review, update, and craft various COLA faculty or academic affairs policies, as policy needs arise.
  • Provide administrative support to the Dean and Associate Dean for the annual faculty hiring cycle.
  • Provide administrative support for various Dean’s Office initiatives and requests such as interdisciplinary majors, online course initiatives and policies, and periodic strategic planning processes.
  • Other related functions as assigned.

Required Qualifications

Bachelor's degree. Minimum of seven years of experience working at UT Austin with thorough knowledge of university policies and procedures.

Three or more years of experience in a supervisory position. Excellent interpersonal skills and highly competent in communicating, both verbally and written, with a variety of audiences.

Demonstrated record of professionalism, including appropriate handling of confidential and / or sensitive information. Demonstrated success in process improvement and implementing solutions, while ensuring the integrity of procedure, records, and internal controls.

Ability to work as team member. Strong organizational and problem solving skills, and ability to adapt to change, and execute overlapping projects successfully.

Demonstrated ability to think critically and strategically and to solve problems, effectively. Demonstrated data analytics experience, including successful data collection, records maintenance, and reporting.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than seven years of experience working at UT Austin. Professional experience working with faculty. Demonstrated ability to work effectively as a member in a team-oriented environment.

University experience supporting a senior faculty administrative leader. University experience administering multiple faculty programs.

Demonstrated ability to analyze, interpret, and communicate complex policies and program rules. Experience designing administrative procedures.

Familiarity with Workday, Tableau, and other university information systems.

Salary Range

$92,000 + depending on qualifications

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
