About the job
Fluid Engineering is looking for an Order Management Specialist to join our team. This position will assist our order fulfillment and accounting teams to get the right product, to the right place, at the right time, with the right invoicing while being a pleasure to do business with throughout.
This position translates customer requests into accurate and timely processing of order fulfillment activities, procurement activities, and accounting records.
This energetic, self-starting, reliable individual is expected to form strong relationships externally with vendors and customers and establish excellent collaboration with internal sales and operations teams.
This position is full-time, on-site, and candidates must be located within a reasonable daily commute to our office in Irondale, Alabama.
Responsibilities
- Process and manage customer orders from entry through successful fulfillment and invoicing.
- Procures goods and services from vendors, and confirms accurate ship dates, pricing, RMAs, and credit memos.
- Assists with processing of vendor invoices, cost reconciliation, and payments.
- Reviews open orders and proactively identifies changes in ship dates, deliveries, or other details to ensure strong communication with customers and internal teams.
- Expedites order fulfillment activities, as needed.
- Works with colleagues to source goods needed for customer orders, inventory stock, and shop production planning.
- Coordinates with warehouse and shop personnel to define appropriate handling of goods in our facility.
- Maintains a network of appropriate contacts with manufacturers, material suppliers, and transportation providers to ensure proper order fulfillment, delivery of goods, and vendor invoices.
- Enters and maintains computer system transactions related to order fulfillment, status updates, inventory documentation, and associated financial processes.

Must demonstrate :
- Excellent written and verbal communication
- Strong organization and time management
- Ability to accurately assess detailed information and communicate appropriately
- Ability to manage multiple internal and external requests effectively
- Ability to negotiate effectively
- Basic mathematics and computer system operation
- Proficiency in Microsoft 365 platform (Outlook, Word, Excel, etc.)
- Familiarity with standard business documentation such as sales orders, purchase orders, confirmations, shipping documentation, invoices, etc.
- Knowledge of production scheduling
- Understanding of shipping and freight
Education and Experience
Associate or bachelor’s degree, or experience in one of the following fields : order processing, purchasing, accounting, or customer service.
Applicable experience must include managing multiple internal / external requests effectively.
Job Type : Full-time, on-site in Irondale, AL
Pay : $50,000 to $60,000
Schedule : Monday to Friday
