JOB SUMMARY : The Medical Compliance Manager will be responsible for overseeing and managing the compliance and credentialing processes for healthcare professionals placed in facilities nationwide.

The role involves ensuring that all candidates meet state, federal, and facility-specific regulatory requirements and internal company standards.

The Medical Compliance Manager will work closely with the medical recruiter to ensure the timely and efficient onboarding of nurses and other medical professionals, mitigating compliance risks, and maintaining meticulous records.

KEY RESPONSIBILITIES : Credential Verification : Verify active nursing and medical licenses (RN, LPN, CRNA, NP, etc.) to ensure compliance with federal, state, and local regulations.

Confirm the validity and renewal status of all certifications (e.g., BLS, ACLS, PALS) and verify educational qualifications from accredited nursing and medical programs.

Ensure that specialty certifications are in place for roles requiring specific skills and maintain accurate, up-to-date records of all credentials within the applicant tracking system (ATS).

Background Checks and Screenings : Conduct comprehensive background checks, including criminal history for all candidates, ensuring that all requirements comply with federal, state, and facility regulations.

Oversee fingerprinting processes where required, ensuring compliance with the Fair Credit Reporting Act (FCRA), and addressing any discrepancies found.

Perform drug and alcohol screenings as per client and legal requirements and ensure that all records are accurately maintained.

Health and Immunization Records : Collect and verify candidate health records, such as physical exams and immunization status (e.

g., TB tests, flu vaccines), ensuring compliance with state, federal, and facility-specific health regulations. Track candidates' compliance with OSHA safety standards and other healthcare safety guidelines, ensuring all required vaccinations and screenings are completed before placement.

Maintain secure, up-to-date health documentation and send renewal reminders as necessary to ensure ongoing compliance with health regulations.

Regulatory and Legal Compliance : Stay informed on all relevant federal, state, and local healthcare regulations, ensuring that onboarding processes align with evolving industry-specific regulations, such as Joint Commission standards and state nursing board requirements.

Maintain confidentiality and compliance with HIPAA regulations when handling sensitive information, and track expirations for licenses, permits, and certifications to ensure timely renewals.

Provide guidance on regulatory updates affecting healthcare placements, ensuring ongoing adherence to changing standards.

Documentation and Forms : Oversee the completion and organization of all required employment and compliance documentation, including tax forms, contracts, health records, and credentialing documents.

Ensure accurate filing of both digital and physical records in compliance with legal and company standards, while managing electronic health records (EHR) and related documentation systems.

Regularly audit personnel files to confirm that all necessary documentation is in place for internal reviews and external audits.

Training and Orientation : Coordinate mandatory compliance training for all new candidates, including essential topics such as HIPAA, infection control, and patient safety protocols.

Schedule and oversee facility-specific orientations for newly placed nurses and healthcare professionals, ensuring that all continuing education (CE) credits are tracked and maintained as required by state regulations.

Customize training materials to meet the unique needs of different healthcare facilities and track the completion of all training modules and certifications.

Tracking and Reporting : Utilize compliance management systems to monitor the status of certifications, license expiration dates, and completed training modules for all candidates.

Generate detailed weekly and monthly compliance reports for internal management and external clients, ensuring real-time tracking of candidate compliance in the ATS and / or VMS platforms.

Send reminders for upcoming renewals of licenses and certifications and ensure readiness for both internal and external audits by maintaining accurate, up-to-date compliance reports.

QUALIFICATIONS : 1-3 years of experience in healthcare compliance, credentialing, or onboarding. Strong knowledge of federal and state regulations governing healthcare professionals (e.

g., Joint Commission standards, HIPAA). Experience with healthcare staffing and working in a fast-paced, multi-state environment.

Familiarity with applicant tracking systems (ATS) and vendor management systems (VMS). Excellent attention to detail, with strong organizational and record-keeping skills.

Ability to manage multiple priorities and meet strict deadlines. Strong communication and interpersonal skills to work effectively with recruitment teams and external clients.

ADDITIONAL REQUIREMENTS : Knowledge of healthcare-specific compliance platforms and technology. Ability to work independently and manage complex compliance processes across multiple states.

Willingness to stay up to date on evolving healthcare regulations and best practices. COMPENSATION : Pay for this position will be commensurate with experience.
