Assistant Director for Operations and Information Systems

The Assistant Director for Operations and Information Systems reports to the Director for Operations and is responsible for providing project planning and management for established initiatives (StarRez, etc.

This position serves as the lead information system professional and subject matter expert within University Housing regarding project management, planning and technology concerns.

Day to Day Responsibilities

  • Analyzes, plan and develops requirements and standards in reference to scheduled projects.
  • Overseeing Projects and budgets
  • Oversight of project scopes, working with vendors
  • Oversight of Operations IT systems

Minimum Qualifications Masters Degree and 1 year of experience or equivalent education and / or experience. Preferred Qualifications

  • Experience in technology or database management, specifically assignments management system, StarRez, which facilitates the following : Enrollment data,Biographic and housing room assignments data,Conference and guest housing, which includes venue management for summer conferences and year-round guest housing,Billing records for student fee bills and paymentsOverall maintenance of student records.
  • Understanding of document imaging, which allows for scanning, encrypting, securing, sharing and providing basic workflows across departments.
  • Ability to implement processes in partnership with multiple campus partners that include : Student housing assignmentsConference assignments for multiple groupsStudent staff hiringResidency verificationsFraternity and Sorority Life membership billing and managementOnline housing access management

Knowledge / Skills / Abilities Ability to exercise good judgment in organizing work and setting priorities, balancing the interests of customers and readily readjusting priorities to respond to their needs and expectations.

Demonstrated strong ethical, professional and service-oriented, and interpersonal skills. Ability to provide excellent customer service in a positive and solutions-based manner.

Problem solving skills. Ability to learn and grow in the area of focus. Job Duties Job Duty Analyzes, plan and develops requirements and standards in reference to scheduled projects.

Serve as lead subject matter expert for all Housing enterprise level applications including but not limited to assignments management system and asset management system.

Oversees Administrative Systems Support Managers development of processes.

Essential Function Yes Percentage of Time 20 Job Duty Holds regular technical and non-technical meetings to determine progress and address any questions or challenges regarding projects.

Assist in the preparation of and monitoring of project expenditures and budget related matters. Provide production incident triage / resolution as well as problem analysis / resolution support (tier 2) for all enterprise level applications for Housing.

Essential Function Yes Percentage of Time 20 Job Duty Assigns and oversees the daily tasks of project team personnel while ensuring all subordinates are actively working toward established objectives.

Determines and defines clear deliverables, roles and responsibilities for team members assigned to specific projects or initiatives.

Essential Function Yes Percentage of Time 20 Job Duty Conferences processes in StarRez :

  • Strategically plan, and provide oversight, for summer and guest housing with conferences and events office.
  • Provide oversight and guidance to Application Support Manager regarding updated processes in StarRez to meet the needs of conferences staff and clients, including, but not limited to, creating building and bed infrastructure, billing set up, correspondence set up, application management, etc.
  • Provide assessment data to departmental, university partners, and clients.

Essential Function Yes Percentage of Time 10 Job Duty Student Employment processes in StarRez :

  • Strategically plan, and provide oversight, for all University Housing student employment processes in StarRez.
  • Collaborate with residence life, operations, and facilities teams to meet the needs of staff and students in order to provide student employment application processes for RAs, SPURS, and FIXX student employees.
  • Collaborate with SAAS HR staff to ensure that all student employment processes in StarRez are in compliance with University and Federal policies, procedures and laws.
  • Areas of focus will be marketing the application process for the positions in StarRez, the application, interview process if housed in StarRez, and evaluation processes in StarRez.
  • Provide assessment data to departmental and university partners.

Essential Function Yes Percentage of Time 10 Job Duty Leads the definition of system scope and objectives based on user-defined needs, prepares detailed functional specifications.

Documents business processes, testing scenarios / scripts, job aids, and end-user communications. Directs the design and implementation of multiple internal or external program / projects that are complex in nature.

Serve as a contact for vendor partnerships facilitating meetings, communications and evaluating proposals. Facilitate inter / intra departmental tasks, meetings and communications as appropriate.

Participate in peer-to-peer knowledge transfer to enhance technical analysis, development, testing, and support skills. Participate in regular production support, incident management, defect management, SME, and user group meetings.

  • Provides assessment data necessary for the betterment of processes and service to students, guests, campus partners, and community partners.
  • Perform other duties as assigned; Carries out special projects and performs assignments as requested by director or other members of senior leadership.
